Office Services coordinates across all internal constituencies to support and manage day-to-day functionality and broader company wide programs such as:
  • Office facilities and environment
  • Print/production, mail and purchasing
  • Reception, concierge and conference/meeting support
  • Business continuity
  • Records management
  • Finance directives
Office Services is responsible for the ongoing administration and execution of corporate policies and programs in the partnership with business and corporate function leadership.

The Office Services Receptionist is responsible for providing the environment, processes, equipment, and resources that efficiently and effectively help associates meet client demands and the overall objectives of the organization. Provide reception support; handle Finance directives related to AP and Procurement; conference room and meeting support; assist Business Continuity efforts; maintain network drive documents; update phone lists, maps, and other such documents; respond to facilities related issues; and other miscellaneous duties. We are seeking an individual who works as a team player in achieving practice objectives and meeting defined service level targets.

  • Perform all duties related to the reception/switchboard including call and visitor handling
  • Meet, greet and announce clients and visitors in a professional manner
  • Ensure visitors are identified in accordance with security procedures
  • Maintain an efficient and professional reception environment at all times
  • Learn and maintain a solid understanding of the Company and liaise with office personnel (know staff business affiliation) and clients in order to direct callers to the appropriate Towers Watson resources
  • Handle incoming/outgoing mail and parcels
  • Maintain overall cleanliness and organization of the office suite
  • Receive facilities requests and work with building management and/or Office Services Manager to arrange for repairs and maintenance
  • Support associates in ordering office and break room supplies
  • Records Management support. (i.e., filing; creating file labels; maintain records database; maintain file room, etc.)
  • Support Finance functions (i.e., AP invoice coding, research, etc.)
  • Schedule and manage conference room spaces and ensure conference room and meeting AV equipment is functional and available
  • Setup and breakdown conference room for meetings, coordinate catering and other meeting requests
  • Advocate and role model Towers Watson Values
  • Other duties as required by the local office management. Examples include, but are not limited to: Administrative support; assist with special projects; send and receive faxes for distribution; control, record and code all requests for courier services; assist in IT related issues; participate in emergency evacuation processes; business related errands, etc.
  • 2+ years of experience in a professional office environment providing general office support
  • Exceptional customer service skills
  • Strong knowledge of Microsoft Office suite and Outlook
  • Experienced in software programs; heavy computer usage
  • Knowledge of office telephone/switchboard and voicemail systems
  • Ability to communicate openly and effectively both verbally and in writing using business standard English and local language as appropriate
  • Strong interpersonal skills and the ability to deal professionally with clients, guests, vendors and associates both on the phone and in person
  • Professional demeanor and appearance
  • Ability to adapt to different people, situations and changing priorities with grace and flexibility, as well as demonstrating an appropriate sense of urgency
  • Strong organizational skills, with proven experience prioritizing work and multi-tasking
  • A strong focus on detail and accuracy of work
  • Strong time management skills
  • Some additional time commitment outside of normal business hours may be required
  • High School diploma, certificate or official equivalent
