The St. Regis Bahia Beach Resort, Puerto Rico is located on the northeastern corridor of the island of Puerto Rico, at the foot of the El Yunque National Rainforest. The resort is bordered by the 5,000 acre Espíritu Santo River State Preserve, and is a 30 minute drive from the 500 year old jewel - Old San Juan.

Job Description

The Executive Meeting Specialist (EMS) will have a dual role: to act as a liaison between Meeting Professionals/Catering Customers and all operating departments to ensure a high standard of organization and guest service and during heavy group months, will also be responsible for creating group resumes and banquet event orders for upcoming programs. This position provides a visible and accessible floor presence when acting in a support role for the Convention Services Director/Manager in order to anticipate, understand and act upon all client needs. When performing in a support role, The EMS proactively monitors customer functions, maintaining constant communication with the customer reviewing all relevant written communications (Group Resumes, Daily Event Lists, Banquet Event Orders, etc…) and verifies accuracy of room sets; meets with Meeting Professionals/Catering Customers prior to the start of the first event to verify meeting specifications; remains accessible to Meeting Professionals/Catering Customers throughout assigned functions; continually inspects for cleanliness and maintenance of all function space, public areas and banquet areas; coordinates with all operating departments to ensure top product quality; communicates any event changes in a timely manner to relevant operating departments and to the Convention/Catering Manager responsible for the group; observes and enforces objectives and policies as set forth by the Director of Convention Services; assures compliance with all Starwood safety standards. During the heavy group months, the EMS will be responsible for detailing and servicing definite groups assigned. This will include creating group resumes in timely fashion, providing all significant details to the operation, creating banquet event orders in compliance with policies and procedures, creating invoices and ensuring terms of contract are being met and minimums reached, as well as maintaining constant communication and coordination with the customer. He/she will attend the catering meeting, pre and post-event meetings and will be expected to verify group events, sets prior to start time.

Knowledge of standards of Convention Services, Food and Beverage, Rooms, and hotel operations. Excellent interpersonal and sales related skills. Excellent communication and organization skills. Basic computer skills, including, but not limited to, Microsoft Word, Excel and Delphi.

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

  • Must be able to speak, read, write and understand the primary languages, English and Spanish used in the workplace.
  • Must be able to read and write to facilitate the communication process.
  • Requires good communication skills, both verbal and written.
  • Must possess basic computational ability.
  • Must possess computer skills, including Microsoft Office 97, Excel and PowerPoint.
  • Ability to accurately type at least 50 words per minute.
Physical Demands

  • Most work tasks are performed indoors. Temperature is moderate and controlled by hotel environmental systems.
  • Must be able to sit at a desk for up to 8 hours per day. Walking and standing are occasionally required. Length of time of these tasks may vary from day to day and task to task.
  • Must be able to bend, stoop, squat and stretch to fulfill cleaning and filing tasks.
  • Must be able to exert well-paced ability in limited space.
  • Must be able to lift up to 15 lbs. on a regular and continuing basis.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors and other employees.
  • Vision occurs continuously with the most common visual functions being those of near vision and depth perception.
  • Requires manual dexterity to use and operate all necessary equipment.
  • Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, electric typewriter, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.
QUALIFICATION STANDARDS
Education
Bachelor’s Degree preferred.

Experience
Previous hospitality experience preferred.
