Administrative Assistant I, Academic Affairs (This is a full-time, AFSCME position) Tour of Duty: Monday-Friday, 8:45 AM -5:00 PM (Subject to Change) (Sat. and Sun. as days off) Core duties: 1) Provide administrative assistance for the Associate Provost for Faculty Affairs. Coordinate schedule and travel arrangements, manage meeting and event coordination, maintain budget and procard charges and work with Budget Manager to ensure accurate and complete records for internal audit. Maintain all relevant Associate Provost for Faculty Affairs web pages. Act as a liaison between Associate Provost and President's Office and other administrative and academic offices on and off-campus. Search for information as needed. 2) Provide support services for the New Faculty Orientation program and institutional teaching and research awards. 3) Provide administrative support to the Governance committees. Post updates to the Governance webpage working with College webpage staff. Work collaboratively with Registrar's Office to review and confirm proposed governance changes. Log in and track proposals and review proposals for completeness and accuracy. Attend Governance meetings. Assist with scheduling of meetings and room reservations, creation and posting of meeting agendas and distribution of meeting materials. Manage the flow of proposals and communication among the various governance committees and the campus community. Prepare proposals for final review by the President. Maintain permanent files and act as information source to campus community. 4) Maintain database of Academic Integrity violations. 5) Assist with projects as a team member in the office of Academic Affairs. 6) Other duties as assigned. Required Minimum Qualifications
1) Minimum of two years of full-time or equivalent part-time professional experience in office administration or any appropriate substitution as specified in the state job specifications. 2) Excellent communication and organizational skills and high degree of professionalism. 3) Ability to prioritize multiple demands; strong attention to detail. 4) Ability to work independently and as a team player. 5) Discretion in handling confidential information. 1) Experience with Microsoft Office Suite and Banner. 2) Understanding of higher education practices. 3) Ability to adapt to new technology.
