Position Description

***THIS POSITION IS OPEN UNTIL FILLED*** Document and Technical Services (DOTS) is the primary technical support group within the administrative offices in Academic Affairs (AA). DOTS provides document management and technical support services to the following departments: Admissions and Recruitment, Office of the Registrar, Financial Aid Office, University Scheduling, and the Provost's Office. Under the general supervision of the DOTS Coordinator, this position is responsible for providing direct support for desktop workstations as well as general technical consultation to these departments. The technical student assistant program is the responsibility of this position. In addition, this position provides secondary support for the networking infrastructure in this area; this position will be trained to be a backup Network Administrator. This position also provides internal technical support to DOTS; produces and maintains technical documentation; performs network information dissemination with the coordinator; and provides other general support. This position is also responsible for assuming a project coordination/leadership role in support of selected Division/Department initiatives. Responsibilities include: 1. Provide superior customer service to all departments within the service area 2. Maintain confidentiality and full compliance with Family Education Rights & Privacy Act provisions 3. Manage the DOTS technical student assistant program 4. Design, develop, maintain, and report on security for area PCs 5. Provide backup support for DOTS' servers

Minimum Qualifications (Staff Only)

Bachelor's Degree and two years of relevant experience (additional qualifying experience may be substituted for up to two years of required education on a year-for-year basis)

Required Qualifications / Specialized Skills

Demonstrated customer service experience requiring a very high level of diplomacy and professionalism. Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems. Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds. Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing. Thorough knowledge of English grammar, spelling and punctuation. Ability to interpret, communicate and apply policies and procedures. Demonstrated ability to maintain a high degree of confidentiality. Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines. Ability to apply consultative skills to assess user needs and provide appropriate support. Knowledge of or ability to quickly learn information technology systems and/or applications, including campuswide systems and multimedia environments, access procedures, networks and/or databases. Ability to integrate multiple applications and/or systems. Ability to learn new technologies, skills, and applications. Ability to analyze data requirements and research data availability and access methods. Working knowledge of and general experience with project management principles. Knowledge of network administration. Ability to coordinate and implement data exchanges and conversions. Knowledge of training theory and practices demonstrated by an ability to develop and deliver technical training and user documentation. Demonstrated interpersonal and communication skills in working with users to interpret needs and provide appropriate solutions. Ability to interpret policy and implement system security practices. Strong knowledge and experience with the Microsoft 7 Operating System. Experience with Microsoft Office (2007 or later) applications. Knowledge of local area network system configuration, protocols and/or transmission media. Ability to analyze and troubleshoot system connection and interface malfunctions. General knowledge of operating systems and hardware for problem identification and analysis. Knowledge of copyright laws and industry standards. Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.

Preferred Qualifications / Skills

Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude. Working knowledge of Microsoft Windows Server 2008 environment. Working knowledge of Microsoft SQL Server 2008. Functional knowledge of Microsoft Windows Internet Information Server. Working knowledge of VMware ESXi virtual infrastructure. Knowledge of and experience with Active Directory Group Policy Objects Knowledge of data administration principles and techniques.

Special Conditions (Staff)

***THIS POSITION IS OPEN UNTIL FILLED*** Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business. Must be willing to travel and attend training programs off-site for occasional professional development. Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis. Must be able to successfully pass a pre-employment background/fingerprint check. This position classification has been defined as "Exempt" and is not subject to the overtime provisions of the Fair Labor Standards Act (FLSA).
