Under administrative direction, coordinates, manages, and organizes division activities and employees to accomplish objectives of the Business Services Division of the Secretary of State's Office in accordance with state and federal laws. The Division consists of 14 employees and four operational areas, Uniform Commercial Code (UCC) filings, Corporate filings, Notary Public licensing, and the Address Confidentiality Program.

Hours: 8-5, Monday - Friday.

Examples of Work:
Manages 14 division employees by selecting, orienting, coaching, counseling and disciplining employees. Communicates job expectations and monitors results. Directs and maintains office services by organizing office operations and procedures. Manages changes as a result of new legislation or processes. Directs the preparation of new and revised forms, manuals, instructions and program letters. Prepares and proposes solutions for resolving operational, administrative or management concerns; assists with development of and is responsible for outcomes of division goals. Consults legal counsel regarding division legislative changes, rules and regulations, and other legal issues that arise within the division. Works with internal and external IT staff and vendors on several division IT projects and internal IT systems to ensure smooth and uninterrupted division operations. Works with division staff and web application vendor to expand and maintain online filing applications. Communicates with a variety of constituents and audiences. Responds to customer complaints. Provides customer service that is prompt, personal, and professional. Approves division invoices and supply requests. Monitors division budget.

Qualifications / Requirements:
REQUIREMENTS: Bachelors degree in public or business administration, management, or other relevant field and three years experience managing a business process or governmental program. Two years demonstrated supervisory experience is required. Exceptional experience may substitute for education on a year for year basis. Knowledge, Skills and Abilities:
Ability to apply education, skills and experience to obtain knowledge of division programs, policies, procedures and the federal and state laws/ statutes related to the division. Ability to develop and apply policies, procedures, and processes for the division; assess operational efficiencies; develop work plans; and provide leadership in achievement of division goals. Skill in planning, prioritizing, organizing and allocating work assignments and division functions. Knowledge of the principles and practices of administration including planning, organizing, staffing, personnel management; and program analysis. Excellent verbal and written communication skills. Familiarity with IT equipment, processes and software applications. Proficient in Microsoft Word, Excel, Outlook, and Power Point.
