The VP of Finance and Administration has responsibility for overseeing Finance and Accounting, Gift Processing, Information Technology, and other Administrative functions while ensuring compliance with all regulatory requirements. As a member of the Foodbank Leadership Team, this position plays an important role in shaping and leading the Foodbanks future. Key Responsibilities: While this job description identifies the major responsibilities of this position, it does not include all potential duties that may be assigned or needed for the efficient operation of The Idaho Foodbank. • Support the Vision, Mission, Values, Strategic and Business Plans of The Idaho Foodbank. • Oversee and support all financial management and accounting functions including accounts payable and receivable, financial and cash flow management, general ledger, payroll, financial reporting, banking practices, investments, monitoring of capital assets, and annual audit process. • Prepare and monitor all financial transactions including bank statement reconciliation, contracts, investment performance documents, monthly financial statements and petty cash reconciliation.• Assist in generating capital and operations (including Development, Administration, Warehouse, and Programs) budgets by providing prior year numbers, forecasting future revenues and expenses, and working with Leadership Team to ensure accurate and effective planning. • Prepare The Idaho Foodbank annual budget for review and approval by the Board of Directors Finance Committee through the active and timely engagement of other members of the Leadership Team.• In conjunction with CEO, develop and monitor annual budgets. Effectively communicate budget process with department management to control expenses.• Prepare financial analyses and data for CEO and Board to track and report financial activities, status of funds, inventory, and capital expenses.• Conduct research and prepare financial reports; produce monthly balance sheets, income statements, cash flow statements, and conduct cost benefit analysis to identify best use of resources.• Establish and maintain appropriate internal control environment, systems, policies and procedures to ensure resources are strategically leveraged to support the organization mission.• Prepare for annual and other fiscal audits. Act as a liaison with auditors to provide materials necessary to complete audits. Manage relations with external auditors, other financial consultants and advisors.• Ensure that all federal and state tax/compliance filings are completed accurately and filed on a timely basis.• Oversee and monitor grant revenue process to ensure accurate and timely receipt/deposit of payments in accordance with established standards. Provide VP of Development with financial data reflecting fund balances by agency and grant criteria.• Oversee and support the Gift Processing function including adherence to defined policies and procedures, timely processing and reporting of gifts (food, funds, in-kind, securities, etc.).• Analyze and administer insurance and benefit plans through outside vendors to ensure quality and cost effectiveness. Ensure administration adheres to ERISA and IRS requirements. Set up and administer 401K savings plan.• Oversee relationships with insurance brokers and vendors, and oversee solicitation of insurance proposals. Recommend insurance policies and levels.• Oversee and support the Information Technology function including hardware and software needs assessment, acquisition and functionality. Responsible for maintaining computer networking system and the maintenance of hardware & software programs through interaction and supervision of outside consultant. • Assist the President and Chief Executive Officer in coordinating required information and reports. • All other duties as assigned by President and Chief Executive Officer.
Position Requirements• Must be a skilled professional with strong accounting background, prior experience managing financial resources; requires a strong working knowledge of accounting systems; financial planning and analysis, including budgeting, cash flow and insurance management. Experience with non-profit accounting and personnel management a plus. • Bachelors degree in Accounting• A minimum of 5 years of experience in a senior accounting role• Excellent verbal, analytical, organizational and written skills• Proficient knowledge of MS Office, Accounting software; Inventory or Gift tracking software experience a plus• Ability to understand and interpret financial statements, benefit plan documents, IT hardware and software, lease agreements, purchase agreements, audits, IRS Form 990s and 5500.• Proven ability to work and effectively manage a diverse staff • Valid Idaho Driver's License and access to a personal vehicle • Ability to bend and lift a minimum of 20 lbs
