Attendance: Produces the daily attendance reports for the middle school and communicates attendance information to faculty/staff. Enters data into SMS on all students’ readmits, tardies and other attendance information that will be included in a student’s permanent record. Collect attendance data and produce summary reports as needed. Responsible for reconciling the student “Unverified Absence” Report by following up with teachers, parents, health room staff, and counselors to account for all unverified absences. Prepares correspondence to parents related to absences. Coordinates the distribution and collection of all homework requests.
Receptionist: Assists with the daily operation of the Middle School office. Greets students, parents, guests and visitors. Provides clerical and operational assistance to the Middle School office and supports other office personnel. These duties include but are not limited to maintaining inventory and ordering office supplies. Maintain the office equipment and supplies. Responsible to take messages and attendance calls from parents each day, and enter all absence information into SMS by the end of each day.
Administrative Support: Assists with student filing and mail outs which includes but is not limited to report cards, flyers, letters, and other middle school correspondence. Assist with set ups for special events and meetings. Provides administrative support to the Curriculum and Assessment Coordinator, Student Activities Coordinator and Counselors. Receive and distribute all U.S. mail and campus mail for the High School office.
Student Directory: Coordinates distribution, collection and data entry of the middle school Student Directory Information into SMS by the start of the new school year.
Data Profile: Assists administration with the maintenance of the middle school data profile. Collects and organizes data for review and updates the profile as data becomes available.
Excellent interpersonal and communication skills in order to relate effectively with students, parents, faculty and staff over the phone and in person.
Customer Service orientation and ability to think resourcefully to find solutions for routine and moderately complex issues regarding students, parents and staff.
Ability to manage, prioritize and complete multiple assignments in a timely manner with frequent interruptions to support multiple people and provide support to front desk.
Good working knowledge of word processing, spreadsheets and database software. Must be able to exercise sound judgment in crisis situations. Good typing skills in order to accurately perform data entry and prepare a variety of correspondence with accuracy.
Associates Degree / Work experience in a school setting / Familiarity with Kamehameha Schools policies and operations / Working knowledge is MS Word, Excel and SMS / Knowledge of and sensitivity to Hawaiian culture and Christian values.
