Responsibilities

 Creates and manages Purchase Orders, monitors, analyzes and calculates monthly accruals for assigned PO’s and ensures accuracy.
 Provides administrative support to the regional Facility Managers including, but not limited to correspondence, budget analysis, records inventory, monitoring and arranging meetings, and coordinating special projects as needed.
 Maintains employee time records, attendance records, PTO usage and Personnel files.
 Provides direction/information to vendors, facilities staff and service providers as required ensuring excellent coordination/execution of work within client environment with minimal disruption, as needed.
 Acts as a liaison to Jones Lang LaSalle’s finance team and other account team members
 Ensures proper follow-up with customers.
 Acts as an interface with the client, visitors and guests. Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation. Ensures delivery of leadership, responsiveness and creativity in finding solutions for service delivery.
 Seeks to continuously improve processes, systems and overall client satisfaction
 Supports requests associated with Jones Lang LaSalle Management, Operations and Financial audits.
 Assists management and staff with operational reporting, budgeting, financial systems, and purchasing as necessary.
 Manages day-to-day office functions (mail, filing, etc.)
 Maintains on site vendor records
 Ensures that high standards of respect and dignity for co-workers and customers is provided and upheld.
 Performs other such duties as needed or required.

Qualifications

 High school diploma or undergraduate degree with continuing education in accounting preferred.

 Incumbent should have:
o Proficient in MS Office and posses strong written and verbal skills
o Experience in accounting helpful
o Effective multi-tasking skills
o Effective communication skills
o Superior customer service skills and orientation
 Must be detail-oriented and be able to work independently.
 Ability to maintain professionalism at all times under stressful situations
 Ability to plan and manage work under time constraints
 Must like people and challenges, and be able to adjust to changes
