Position Overview - Executive Assistant - Bookkeeper The Halverson Group is looking for an experienced Executive Assistant-Bookkeeper to join our rapidly growing team. This position will play a critical role in helping us excel in both areas.

This individual will bring expertise in bookkeeping to manage accounts receivable, accounts payable, the general ledger, and fixed assets, as well as a drive and passion to improve the overall business operations by assisting with key administrative and office management tasks. The ideal candidate will have experience working in a consulting environment. Principle Accountabilities Support fast-paced team of professionals of all levels on various administrative tasks, including but not limited to: Organize and manage calendars, phone, mail, correspondence, meeting requests, making and managing travel arrangements and itineraries Answer and screen all calls Manage office services functions (mail, supplies, office equipment, filing, phones, etc.) Manage facilities (maintain office space, schedule repairs " maintenance, prepare conference rooms for meetings, etc.) Manage email and client databases Communicate with the firm ’s clients, as necessary, while enhancing the firm ’s reputation for being professional and friendly Manage research technology inventory and maintenance Assist on various research and technology tasks as needed (i.e. performing internet searches, scheduling, purchasing research supplies, etc.) Light tidying of the office space Support Director of Finance " Administration with Bookkeeping responsibilities, including but not limited to: Process various entries in QuickBooks Invoice entry Investigate and resolve billing discrepancies with vendors " customers Assist with the review, verification and reconciliation of invoices and statements Process employee expense reports Assist with accounts payable data entry into QuickBooks Assist with bank and account reconciliations Accounts payable / Accounts receivable Other ad-hoc accounting projects Position Requirements Must have 5+ years of experience as an administrative assistant and/or bookkeeper in a consulting environment Must have 5+ years of recent bookkeeping/accounting experience Must be highly proficient in QuickBooks and Microsoft Office Experience with Projector PSA or other time and expense entry software a plus Demonstrated professional written and verbal communication skills Superior organizational, time management " problem-solving skills Excellent multi-tasking skills and the ability to manage multiple priorities Proven ability to work in an environment of considerable discretion and confidentiality Self-starter with ability to work independently, quickly and accurately Detail-oriented Exceptional listening skills Must feel comfortable working in a fast-paced environment where team and client demands change quickly and frequently Must be eligible to work in the U.S.
