Job Profile Summary

Supervise all Gallery Operations processes and procedures for the Rockefeller Galleries including but not limited to: set-up and breakdown of views, auctions, special events, tours, pre-views, viewing rooms, tours, internal requests, and external rentals. Connect all resources and components required to build up and breakdown each gallery and auction room in a time sensitive environment. Liaise with Auction Departments and Logistics to ensure property is processed in a timely manner in and out of the Galleries. Supervise all labor including but not limited to: daily scheduling, overtime requests, temporary support, supply inventory, and when necessary disciplinary action.

Support and coordinate all property flows and communication flows between the galleries and divisions of origin or end destination

Work directly with scheduling team to execute assignments within the overarching timeline and key dates as dictated by the sale schedule; communicate immediately any potential conflicts or potential issues with relevant parties.

Communicate daily with departments as to allocation of labor and expectations for installations as well as plan adequate resources for each gallery set-up/break-down.

Schedule and arrange all overtime and temporary labor required for installation/breakdown in conjunction with the Dispatch Manager.

Supervise all scheduled work to ensure it is executed quickly and professionally and uphold Christie’s standards.

Establish quality parameters and make sure these parameters are consistently met.

Train Art Handlers in the proper and safe handling of all property types—identify and coordinate any additional training required by the team.

Supervise the day to day work of Art Handlers including but not limited to: scheduling, timeliness, quality control, timesheets, inventory integrity and the resolution of any issues that may arise.

Cultivate and supervise team development through timely completion of objectives, performance reviews, and communication of day-to-day expectations and improvements

Coordinate with Departments & Warehouse Logistics on expected volumes, pieces with specific installation and handling requirements as well as managing transfer timelines for property in and out of the Galleries including off-site transfers in conjunction with the Gallery Expediter

Supervise off-site or large scale installation outside of Rockefeller Galleries

Actively manage each vendor utilized for view set-ups and breakdowns, including but not limited to: costs review, time management, directives, effective processes, and performance

Create an incoming/outgoing schedule for all galleries and manage all relevant vendors work within each schedule.

Oversee quality control as it pertains to bar-coding, tagging, and property system scanning assure inventory integrity and report any and all inconsistencies to relevant Supervisors in conjunction with the Gallery Expediter

Oversee the record keeping of all property hand-off points, including incoming and outgoing from each gallery: conditions, barcode discrepancies, damages, piece counts, and descriptions as to be completed by the Gallery Expediter.

Problem resolution and quick decision making responsibilities

Responsible to communicate all issues to relevant Departments and Managers

Flex time support to Christie’s Special Exhibition Galleries & other logistics departments where applicable

Other duties as assigned by Manager.

Skills and Experience

Bachelor degree preferred or equivalent work experience.

5-7 years of Art Handling experience and a minimum of 2 years of experience in expediting/scheduling/warehousing/gallery coordinating.

Possess traditional supervisory skills including training, communication, discipline, and coordination.

Impeccable organizational skills and the ability to multi-task in a demanding environment

Computer Skills intermediate level required (windows based emailing, word processing, spreadsheet, and custom designed software in a windows compatible environment)

Experience supervising a large crew with the ability to lead is a must

Demonstrates strong written and verbal communication skills

Experience managing in a union environment is a plus

WORKING CONDITIONS:
Work is performed subject primarily to inside environmental conditions (e.g. galleries, warehouse and covered loading dock), and also occasionally to outside environmental conditions.

Noise level in the work environment is moderate; higher on sale or exhibition days, and in loading dock.

PHYSICAL REQUIREMENTS:
Support Art Handlers (ability to perform all art handling duties as listed below)

Box, crate, and heavy property lifting (typically up to 35 pounds per piece)

Uncrating, Unpacking, Bending, Lifting, Carrying, Pushing, Pulling, Overall material handling

Extensive walking throughout Christie’s facilities (300,000 + sq. ft. as well as off-site warehouses)
