Position Summary: Responsible for the day-to-day management of the health care center and related administrative and community duties. Hires, trains and supervises all center staff while working in collaboration with clinicians to ensure efficient clinical function. Develops, refines and implements operational procedures to insure high quality and service excellence. Participates in the daily delivery of patient services.
Acts as communications liaison between staff and Senior Management.
In conjunction with the Director of Patient Services, selects qualified staff and assumes responsibility for training of all personnel who work within the office setting. Ensures proper staff and volunteer training in clinical and other affiliate policies and procedures.
Coordinates clinical staff schedule and all clinical personnel leave.
Completes staff evaluations during probationary period and annually.
Manage and provide for the pro-active maintenance of professional appearing, clean and fully functional center. Assures maintenance and upkeep of facility and equipment.
Monitors inventory of pharmaceutical and other supplies. Maintains clinic inventory control and orders supplies on a monthly basis.
Manages clinic’s financial functions including deposit reconciliation, postage disbursements and reimbursement requests.
Maintains and collects client accounts receivables.
Develop, manage and meet monthly revenue and client goals.
Responsible for timely and accurate bank deposits of clinic receipts.
Submits clinic management reports to Director of Patient Services monthly by the 5th business day of the month.
Assures site compliance with the affiliate Risk Management Program. Assures proper functioning of clinic security systems and provides monthly staff training of security and emergency policies and procedures.
Develops, monitors and implements work plan items and assures progress of same.
Develops and implements non-medical procedures and/or systems for operation of the clinic.
Conducts regular staff meetings.
Provides front office coverage for client appointments when needed.
Manages client flow and clinical schedules, utilization rates to ensure efficient clinic operation.
Maintains the accuracy and integrity of the medical records system.
Trains staff and assures excellent customer service.
Provide back-up direct patient services as appropriate, i.e. medical assisting, pregnancy testing and options counseling, HIV services.
Disseminate and provide training on policy and guideline updates to staff. Ensure compliance within these policies.
Performs and assures completion of monthly Quality Management Audits, and other quality control functions as required by affiliate Quality Management Program. Oversees site QM program.
Manages and assures compliance with CLIA requirements for laboratory personnel training, equipment maintenance and quality control and assures compliance with lab test follow-up procedures.
Monitors and ensures compliance with OSHA policy. Assures timely submission of clinic incident reports.
Maintains up to date confidential staff OSHA records.
Provides training and rehearsal of PPNF Emergency Management Plans for staff.
Supervises the packaging and distribution of pharmaceuticals and supplies in accordance withFloridalaw and the approved procedures of the affiliate.
Responsible for site compliance with PPFA Standards and Guidelines in the management of patient notification and follow-up care for abnormal test values and referrals to outside providers. Ensures maintenance of referral follow-up log books.
Works with the Director of Patient Services on special projects as assigned.
Facilitates affiliate relationship with medical community and community resources and makes recommendation for additions/deletions to referral network.
Conduct monthly staff meetings and policy training sessions.
Attend monthly meetings with supervisor.
Attend monthly management meetings.
BS/BA Degree in health, human services related or business management field.
Medical office management experience preferred.
Belief in the mission, goals and philosophies of PPNF.
Knowledge of terminology, techniques and practices of gynecology and/or family planning.
Ability to establish effective working relationships with practitioners, patients, co-workers and community members.
Flexible, highly organized, able to manage multiple priorities.
