School/Unit Harvard Graduate School of Education Sub-Unit ------------ Location USA - MA - Harvard Job Function General Administration Time Status Full-time Department Programs in Professional Education Salary Grade 053 Union 55 - Hvd Union Cler & Tech Workers Duties & Responsibilities Programs in Professional Education (PPE) at the Harvard Graduate School of education is currently seeking an Enrollment Coordinator (EC) to conduct the enrollment process for our executive education programs. Reporting to the PPE Director of Marketing, the role of the Enrollment Coordinator (EC) is multi-faceted with four distinct areas of responsibility and expertise. The EC is responsible for providing outstanding customer service to institute participants who enroll in our PreK-12, HIHE and TPC institutes over the course a year. The EC will advise and guide groups and individuals in regard to enrollment in programs appropriate for their learning objectives, based on a strong understanding of PPE institutes and the audiences they serve. In addition, the EC will be responsible for following up on leads and requests for information, maintaining quality data, and general marketing responsibilities.
Customer Service: Providing a high-level of customer service to our institute participants throughout the entire enrollment process is a top priority for the EC. Returning phone calls and emails in a timely and professional manner is required in order to ensure a positive participant experience and achieve maximum enrollments. The EC will work primarily within two web-based computer applications, Certain Registration and Salesforce.com to track and maintain inquiries, registrations, and send out admissions letters and other participant communication as needed. The EC will be responsible for maintaining privacy of data and following appropriate governmental and/or Harvard reporting requirements, guidelines, regulations and procedures related to collecting and reporting on student data as appropriate.
Data Management: The EC is responsible for processing and maintaining participant records within the Certain Registration system and within Salesforce.com (SFDC). The EC will be asked to create and update a variety of reports on a weekly basis in an effort to track applications and prospective groups. The EC will also assure the integrity of the enrollment process and participant information database and provide accurate reports on inquires, enrollments, and leads impacting the overall business operations of PPE.
Outreach: The EC will work within SFDC to track and proactively reach out to groups and individuals that are interested in attending an institute. The EC is responsible for maintaining a prospective groups list and reporting on it on a weekly basis.
General Marketing: The EC will be responsible for working collaboratively with the marketing team to develop value-added stories for the PPE website and three quarterly e-newsletters. Additional opportunities for the EC include setting up Google Adword campaigns and creating press releases for upcoming institutes. Basic Qualifications 3 or more years experience in customer service, data management and/or student services required. Demonstrated skills with Microsoft Excel including the ability to develop and format new and template reports. Experience working with online systems to manage student or other similar data. Ability to formulate, effect, interpret and implement protocols and priorities for the enrollment process. Ability to monitor enrollments in various programs, analyze and report on enrollment trends to administration. Previous experience working with a broad range of clients from teachers to high level school and university administrators. Ability to investigate and resolve enrollment and student reporting matters.
