Minimum 5 to 10 years of facilities project and budgetary experience
This position reports directly to the Director of Engineering and Construction and is responsible for maintaining a professional, well organized department. The objective of this function is to provide seamless operation through teamwork and communication to achieve Corporate objectives.
Responsibilities will include, but are not limited to, the following:
Project CAR's
Assist with the creation an input to the electronic routing system
Track the approval process
Assist with tracking all costs associated with the project
Assist with coordinating all project documentation
Assist with CAR/project closeout
Coordinate all departmental expense spending
Enter requisitions
Ensure correct vendor information
Ensure correct budget coding requisitions and invoices
Manage vendor inquiries and resolve issues
Manage P card spending
Track costs and assist with budget reviews
Project Training
CAR creation
Electronic approval process
Cost tracking
Engineering/Construction Compliance Wire and trainiing administrator
Update employee information
Schedule training events
Monitor for compliance
General Responsibilities
Assist with the set up and maintenance of the department shared drive and standards
Provide the daily vendors interface
Prepare annual blanket, project and expense purchase orders
Track department invoices and payments
Administrative Assistant functions as required
Schedule and organize monthly project review/update meetings
Organize department files and comply with Record retention requirements
Skills/Knowledge Required:
Minimum 5 to 10 years as a project coordinator
Ability to manage several projects simultaneously
Experience with departmental budgeting management
Excellent computer skills (Word, excel, Microsoft Office) and ability to learn new software
Excellent interpersonal skills and organizational skills
Oracle based purchasing software knowledge or equivalent
Basic knowledge of accounting principals
Computerized training system knowledge
