Provide highly responsible administrative support to the Division Chief of Acute Care Surgery. Maintain Faculty calendars; make travel and hosting arrangements; prepare travel and hosting expense reports; coordinate schedules of visiting faculty recruits; screen, prioritize and respond to correspondence or direct matters to appropriate individuals for action or follow-up. Type correspondence, grants, manuscripts and perform proof reading. Coordinate internal and external meetings with physicians, staff and individuals from outside the University. Submit travel reports and reconcile P-Card accounts. Ensure all expenditures are incurred in compliance with University policies and procedures. Reconcile monthly Statement of Activities. Renew faculty licenses, subscriptions, order books and other office equipment as requested. Order stationery, business cards, supplies, etc. Arrange for outside invited speakers with travel and expense reimbursements as requested. Answer phones. Make photocopies as needed, troubleshoot photocopy and fax machines.
Assist with coordination of programs led by supported faculty such as Advanced Trauma Life Support. Work independently and as team with other office staff, including cross training and providing coverage. Assure compliance of University and Departmental policies and procedures by all staff within the Division. Attend Division meetings and record minutes.
Administer user sign-ons for CAS programs within the Division of Acute Care Surgery. Assist in the distribution and repair of trauma communication equipment (trauma radios and team pagers). Perform other duties as assigned.

Ability to handle multiple tasks, attention to details, and meet deadlines with efficiency. Demonstrated flexibility. Capacity to exercise initiative and independent judgment within scope of duties. Knowledge of Microsoft Word, Excel, Outlook, Powerpoint
Bachelors degree preferred. 5-7 years of recent responsible administrative experience. Knowledge of University and Hospital policies and procedures, Concur and M-Pathways. Experience with basic medical terminology.
