Job Summary

Serves as the project liaison and departmental resource for provider correspondence and assigned implementations and contracting projects. Responsible for managing the correspondence system including: print queue, setting up special mail requests, updating and maintains documents within the correspondence system. Participates in full life cycle development by performing requirements analysis, process development and design, and testing using development methodology. Collaborates with functional teams, as well as with IT business analysts and programmers to develop detailed design specifications according to standards. Supports special projects. Responsible for supervising and assigning work to team members, and providing feedback on team member performance. Coordinates and monitors the work of others.

Essential Functions

Maintains Correspondence System by:
Assigning projects to team members to complete.

Ensuring policies and procedures are followed, and quality standards are met for all Provider Correspondence projects.

Provide feedback and suggestions for improvement of documents with internal customers.

Ensuring all document and bundle requests are completed, uploaded, and tested in a timely manner and are in accordance with Magellan’s Provider Communication and Legal policies.

Working with Rates and Contract Coordinators to ensure all documents for provider mailings have been reviewed and approved by the Provider Communications and/or the Legal departments and loaded to Correspondence System.

Ensuring new documents are appropriately identified and incorporated into other provider network systems and applications such as Doc Tracker, Cred Queue, and Hyland OnBase.

Ensures coordination and completion of provider correspondence projects by:

Assigning projects to team members to complete.

Ensuring policies and procedures are followed, and quality standards are met for all Provider Correspondence projects.

Analyzing provider data and creating plan to ensure all providers are accurately assigned to appropriate bundles.

Utilizing mass faxing capabilities, when appropriate.

Managing Correspondence print Queue ensuring all mailing requests are printed and mailed within established turn around times.

Identifying barriers preventing goal attainment, communicates issues to management in timely manner to keep project on deadline track.

Documenting production of correspondence projects and ensuring appropriate cost center is utilized.

Working with correspondence services to ensure timely completion of mailings.

Provides status reports that give a detailed description of the current project’s progress and costs.

Coordinates a variety of Network Services projects from implementation to audit.

Acts as liaison between Network Services and other departments and tracks/documents performance against project goals and deadlines.

Assists Project Managers or leads all assigned projects utilizing knowledge of network structure and all Magellan provider systems.

Creates and maintains process documentation and workflows for the Correspondence System and process.

Develops and documents workflow, systems requirements, system impact analysis, systems design, process analysis and testing (including reasonableness checks) using software development methodology to provide efficient, cost-effective solutions as directed. Identifies impact of solutions on existing and future systems.

Monitors supply requirements for provider correspondence projects and ensuring sufficient supply is available and orders for supplies are requested in a timely manner.

Participates in budget planning. Conducts new employee and ongoing team member training. Help design plans for implementation, produce user documentation and training materials. May conduct end user training.

Performs other duties as assigned.

Non-Essential Functions

Requesting reports and/or querying the multiple databases using SQL statements, Toad, or other software and query tools

Minimum Requirements

Education: BA/BS

Field(s) of study: Business or Health Care preferred

Experience: 3-5 years

Job Specific: At least one year project or network management experience.

Equivalent combination of experience and education is acceptable.

Education and/or experiences may run concurrent.

Other

Project management, analytical/problem solving skills, excellent verbal and written communication skills, strong PC background, efficient in using standard software. Strong interpersonal and communication skills, written and oral. Ability to establish strong relationships and influence work performance of others.

Computer Skills: Advanced MS Excel and MS Access – or equivalent programs; Basic MS Project skills

Preferred Qualifications

Education: Bachelor’s degree in Computer Science, Information Systems, or related field. BA/BS in Business or Computer Science

Experience: Minimum of two years experience in appropriate technical environment. Related professional experience in the managed care, healthcare, or insurance industries.

Knowledge, Skills, Abilities: Knowledge of Magellan provider data systems. Analytical/problem solving skills, excellent verbal and written communication skills, strong PC background, efficient in using standard software. Knowledge of system process analysis and/or program management, estimating IT system development, and testing.
