      This position reports directly to the Executive Assistant to the Chairman and CEO.

      Provide administrative support for an Executive Officer. Manage an executive’s schedule, arranging appointments, travel, meetings, conference calls, etc. Work under general supervision with latitude for independent judgment. May supervise, mentor and/or direct work of other administrative support staff.

      PRIMARY DUTIES AND RESPONSIBILITIES: · Manage executive’s calendar including meeting set-up, travel arrangements, preparing meeting agendas, determining and shifting priorities, resolving scheduling conflicts, etc.
      · Act as intermediary for questions and issues before presenting to executive; resolving independently where possible.
      · Design, format and update presentations and non-routine correspondence.
      · May supervise, mentor and/or direct work of other Administrative Assistants, temporary employees and interns.
      · Plan and coordinate department wide meetings and special events including catering, technical equipment set up, awards and recognition, etc.
      · Prepare and process purchase orders, invoices, check requests, expense reports, etc.
      · Prepare and distribute correspondence including memos, organizational charts, phone rosters, contracts, forms, etc.
      · Prepare, update and maintain spreadsheets, databases and reports.
      · Coordinate budget preparation, monitoring, analyzing and reporting.
      · Perform administrative tasks including phone coverage, ordering office supplies, distributing mail, etc.
      · Coordinate and assist with hiring process including scheduling interviews, new hire paperwork, offer letters, etc.
      · Perform other duties as assigned.
      Qualifications
      EDUCATION: · Associates degree in Business or related field, plus job-related specialized training in administration or office management.

      EXPERIENCE: · 7+ years of related administrative, secretarial or office experience supporting executive or higher level management

      · Proven leadership and ability to direct others
      · Strong Computer skills: MS office – Word, Excel, Outlook, Powerpoint and Visio
