Provide office support to assigned department by using administrative systems, procedures and policies and monitoring and completing various administrative projects. Provide direct support to assigned management.

External Job Description - Essential Duties/Functions

  • Make travel arrangements for assigned management
  • Make meeting and conference call arrangements, including coordination of rooms, technical resources and catering for assigned management
  • Type correspondence
  • Monitors firmflow reports/activity and routes firmflows via the tax group
  • Copy and collate reports; scan documents as needed
  • Receive/send correspondence by mail, e-mail and fax
  • Maintain calendars for assigned Partners and other members of management
  • Assist with time and expense entry for assigned Partners and other members of management
  • Interact with clients in person and on the phone
  • Provides reception and office services relief (i.e. mail/file/stocking kitchens, etc.)
Help maintain professional appearance of conference rooms and common areas

Additional duties that an Administrative Assistant may perform:
  • Scan and save workpapers submitted by clients
  • Draft engagement letters to clients
  • Process and send tax returns to clients
  • Manage and monitor GoFileRoom
  • Assist Office Administrator with obtaining coding and approval for vendor invoices
  • Process and mail client invoices
  • Assist with tax and/or audit scheduling
  • Other duties as required

Excellent written communication skills, including grammar and punctuation
  • Ability to maintain the highly confidential nature of information
  • Ability to use telephone system
  • High School Diploma, GED required
  • Three years administrative experience required
  • Administrative assistant experience in a professional services firm preferred
  • Tax processing experience required
  • Intermediate level of proficiency with Microsoft Office
  • Experience with PeopleSoft preferred
