Title: Volunteer Relations & Campaign Coordinator

Supervisor: Associate Vice President of Campaigns

Summary: Provides coordination and continuity for implementing campaign strategies, reporting and engaging volunteer leaders. Also provides administrative support, communication and organizational skills to the presidents office and campaign leadership. Confidentiality must be maintained for donor information and organization business. Regular, full-time, non-exempt position.

Essential Functions:

  • Maintain a comprehensive understanding of the mission of the Kansas State University Foundation (Foundation) as it relates to the educational, research and service goals of the university with the ability to communicate the institutions needs and priorities both internally and externally.
  • Establish and nurture effective, collegial working relationships with foundation coworkers, university partners, and donors.
  • Promote and demonstrate respect, collaboration, and friendly customer service in all working relationships.
  • Participates actively and cooperatively on all assigned committees and task forces.
  • Assist with general administrative duties for Trustee activities, presidents office and campaign leadership (volunteer and staff) including, but not limited to, calendaring, copying, faxing, filing, imaging, and mailing.
  • Provide support for planning agendas and coordinating schedules, prioritizing workload and serve as a liaison between university staff, development staff, Trustees, presidents office and campaign leadership. Ensure team is equipped with the proper materials for meetings and provide appropriate follow-up.
  • Monitor volunteer management practices relative to development activities for Kansas State University to assure continuity in expectation, communication and documentation of information gleaned from volunteers in the fundraising database.
  • Serve as a liaison with other Foundation departments to ensure accuracy in documentation and tracking of pertinent volunteer participation information in ONEs prospect management system.
  • Assist with establishing/adopting and implementing standards for measuring progress towards annual and long-range goals, objectives and strategies to maximize volunteer engagement for the constituencies, Trustees and campaigns strategies
  • Work with appropriate staff in establishing and supporting systems that manage data, report defined outcomes relative to campaign objectives, reporting and tracking.
  • Assist with interpretation of data and outcome tracking to prepare illustrations and develop messages for external audiences.
  • Assist with developing, implementing, and tracking volunteer communications for Trustee activity, presidents office and campaign, including preparation and follow-up for staff meetings and volunteer meetings.
  • Make travel arrangements for presidents office and other employees as assigned, when needed, including air, lodging and car reservations and organize travel itineraries and related materials.
  • Compose and produce correspondence, and assist with proposals and gift documentation, as necessary.
  • Assist in the planning and implementation of strategy for campaign events including small planning and educational sessions, and larger ceremonial and recognition programs.
  • As work load allows, provide support for staff members in the implementation and execution of related foundation administrative projects.
  • Other work related duties as assigned.
  • Education: Bachelors degree preferred.

    Experience:
    A minimum of three years general office work experience preferred. Extensive experience in Microsoft Office (or equivalent) required, including Word, Excel and PowerPoint. Knowledge of Internet, email and electronic calendars required. Experience in coordinating and managing events preferred.

    Skills:
    Excellent communication, organizational and time management skills required. Strong ability for details, word processing, and computer knowledge required. Demonstrates a solid understanding of developing relationships and volunteer management. Exhibits passion and enthusiasm for his/her cause. Confidentiality important.

    Requirements: Work is primarily sedentary. Must be able to sit for long periods of time. Requires a valid motor vehicle operators license with acceptable driving record.
