General Summary of Duties :
The Public Relations Coordinator is responsible for working side-by-side with the Public Relations Director and Public Relations Manager to meticulously coordinate all details of media visits, including pre-planning, press materials and updating Public Relations archives for various Public Relations reports. Primary responsibilities of the Public Relations Coordinator include: writing, maintaining and updating press kit materials; maintaining and updating online photo library and video library.

Additionally, the Public Relations Coordinator also assists with distribution and pitching of press materials to the media; tracks and maintains media coverage; updates media database and additional contact lists; and helps qualify and fulfill media requests.

Typical Physical/Mental Demands :
Requires mobility. Requires prolonged sitting, standing, and walking. Ability to push and/or pull cabinet weighing up to fifteen pounds. Eye/hand coordination and manual dexterity. Ability to distinguish letters, symbols, and colors. Normal vision and hearing range. MUST HAVE FLEXIABLE HOURS: Varied hours of work to include evenings and weekends based on business needs.

Typical Working Conditions :
Work is performed in an office environment; and ability to tolerate varying conditions of noise level, temperature, illumination, and air quality.

Examples of Duties (includes but is not limited to the following) :

MAINTAIN MEDIA MATERIALS AND ASSIST THE DIRECTOR OF PUBLIC RELATIONS AND PUBLIC RELEATIONS MANAGER WITH PRESS INQURIES AND GENERAL ADMINISTRATIVE FUNCTIONS (50%)

Strong writer with excellent communication skills and strong reading comprehension and retention skills

Knowledge of media industry and hotel PR industry

Review and proofread press kits to ensure accuracy, consistency and quality of work

Review online and printed resort information to ensure accuracy; ensure all web-related press coverage contains accurate information; follow up to make corrections when needed

Track and maintain media related records including clippings, images and video libraries, accolades and media lists

Create and modify documents such as invoices, reports, memos and letters

Setup and coordinate meetings and/or conference s and update Public Relations calendar in real time

Maintain confidentiality in all aspects of client, staff and agency information

Generate monthly and yearly reports

COORDINATE MEDIA VISITS AND POST FOLLOW UP (25%)

Prepare journalist reservations and itineraries in coordination with the Reservations Department, restaurant General Managers and Lapis Spa

Prepare media press kits

Ensure venues are open and in top shape prior to site visit

Track all incoming media requests and assist to qualify credential

Coordinate VIP amenities when needed

ASSIST IN PLANNING, COORDINATING AND EXECUTING PUBLIC RELATIONS ACTIVITIES, INCLUDING EVENTS, FILMING AND PHOTO SHOOTS (25%)

Handle inquiries for film shoots, photo shoots, PR events and opportunities

Work with PR Director and Manager to communicate with other de partments and develop action plan for shoots/events

Assist in creating event concept briefs

Research hotel occupancy and other possible functions taking place on property to ensure there are no conflicts

Spanish language communications skills a plus

Education :
Bachelor’s degree in marketing, public relations, communications or related field

Experience :
Minimum 2 years Public Relations/Marketing experience

Hospitality experience preferred

Experience with photo shoot and video shoot coordination preferred

Proficient in press release copy writing and proofreading
