The office associate provides administrative support to corporate staff and others as follows:
Provides administrative support to the president including scheduling, meeting and travel arrangements, clerical support and other duties as assigned.
Provides administrative support to the southwest region business development manager including scheduling, meeting and travel arrangements, customer follow-up, clerical support and other duties as assigned.
Provides administrative support to the Southwest Region Customer Financial Services department including, but not limited to, preparing letters to new customers, filing and setting up new file folders for new accounts.
Provides support to other corporate and branch staff to include filing, copying, faxes, mail and other office related duties. Assists with various projects and proposals including correspondence, presentations and data entry projects using SAP, Lotus Notes and Microsoft Office software.
Assists with hotel accommodations, restaurant reservations and catering services needed for seminars or meetings. Schedules and arranges for meetings, training sessions and other social functions as requested.
May be responsible for sorting the mail for the corporate staff in their absence, as requested.
Attends training programs, as required.
Initiates timely communication with supervisor regarding position functions and related measures as defined with supervisor.
Minimum of a two-year business, accounting or office degree preferred, or the equivalent in work experience.
Prior knowledge of administrative assistant duties, general accounting duties, operating a variety of office equipment and a switchboard with the ability to perform various data entry projects preferred.
Excellent interpersonal, grammar, written and verbal communication, reading, and customer service skills are preferred with the ability to effectively plan and organize.
Prefer ability to read, write and speak English. Require good working knowledge of PC for Windows, Microsoft Office (Excel and Word) and Internet.
Prefer working knowledge of email and SAP software. Excellent customer service skills include being courteous, responsive, accurate and competent.
