Contribute to the growth and well being of the college by providing leadership, supervision, and coordination of systems that relate to registration and student records. Provide direct assistance and advice to the Registrar while providing assistance with the operational, personnel, and financial functions within the registration and records areas.

Job Duties (Duties Assignment Statement)

Supervise a system for processing credit enrollments (adds, drops, schedule adjustments, late registrations, and total withdrawals) through on-campus & on-line services, and cooperative program sites.

Provide a system that ensures access and delivery of student records at the front-counter of Records & Graduation Services that includes but is not limited to: transcripts, student schedules, enrollment verifications, degree audit information, student academic standing, identification cards, and general Bursar account information.

Support a system for receiving, posting, and distributing faculty assigned grades. Ensure that grades submitted outside of regular procedure including early grades, I conversions, and grade changes are timely posted.

Support a system that ensures institutional compliance with OSRHE policy on academic standards while notifying students of their academic standing on a semester basis.

Supervise systems in support of institutional partnerships and policies. Such systems would include the submission of National Student Clearinghouse files, cancellation of enrollment for nonpayment, and the creation of sections during the schedule building process.

Supervise a system for evaluating incoming high school and college transcripts ensuring high school curricular deficiencies and minimums are assessed.

Supervise a system for evaluating student petitions in association with registration, grades, and never attendance.

Assist the Registrar in serving on committees/teams, project analysis and research, preparation of documents and reports, and budget administration.

Develop and maintain an effective operation through the selection, training, evaluation, and motivation of personnel

Advise the Registrar on significant matters, and support the Registrar and other members of management in their goals and operational purposes.

Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.

Minimum Education/Experience

Master’s Degree

Three years of full time work experience in a college admissions or registrar’s office with one full year of supervisory experience.

Required Knowledge, Skills & Abilities

Demonstrated ability to effectively manage human resources

Demonstrated ability to effectively communicate both verbally and in a written format.

Demonstrated knowledge and work experience within Student ERP System(s) (i.e. Datatel, Banner, Peoplesoft).

Demonstrated strong personal skills and sensitivity to a multi-cultural environment.

Physical Demands/Working Conditions

Must be able to lift and carry equipment and supplies weighing

up to 40 pounds

Preferred Qualifications

Bachelors or Masters Degree in Adult & Higher Education Program

Experience in the development and maintenance of reports using reporting writing software (i.e. Business Objects).

Work experience in community college environment

Employee will need to work some evening hours (11-8) and two Saturdays a year.
