Reporting directly to the Contracts Manager, the Contracts Administrator position has direct responsibility for the day-to-day contract administration duties to support implementation of the overall strategy for the use of contracts to grow and improve the Spacesaver Group’s revenue and margin performance. This position reports to the Contracts Manager and is a key member of the cross-functional Contracts Advisory Team. Interacts with government contracting officers, suppliers, and management at all levels.

Responsible for performing the full range of contract administration functions for a portfolio of large and medium sized sales contracts of diverse types, including Federal contracts, State and Local contracts, GPO contracts, and national account agreements among others. Assists in the analysis of contract requirements, provisions, terms and conditions to ensure compliance with appropriate laws, regulations, and corporate policies and business procedures. Disseminates information regarding contract status.

Prepare and administer correspondence, negotiation memoranda, and contract documentation to ensure timely and coordinated submittal.

Assist with development and management of contract change control process and contract database.

Assist with development of and make recommendations on negotiation strategies for contractual issues, working with contracts team and area contractors.

Review solicitations and coordinate the preparation of proposals, bids, and contract modifications.

Ensure contract review, approval, and execution in accordance with corporate and/or business unit guidelines.

Assist in identification, development, and implementation of new contract policy and processes. Assist in the administration and development of processes, reporting, metrics, and tracking methods for ongoing contracts.

Develop, maintain and keep current all contract documentation in a concise, organized manner.

Maintain contract records and files documenting contract performance and compliance with negotiated terms and conditions.

Resolve contractual issues and make recommendations for improvement when appropriate.

Assist in all aspects of tracking contract performance.

Coordinate regularly scheduled Contracts Advisory Team meetings, develop agendas, publish notes, issue and follow up on action items, and perform other administrative functions as needed to support the team.

Communicate contract policy and practice to internal business teams.

Conduct research to facilitate contracting trends.

Required Skills

Required Experience

Bachelor’s degree in Business or related field.

Contracts administration and contracts management experience, preferably with Commercial and Federal Government contracts, including contract interpretation, analyzing RFP/RFQ requirements, and negotiations, a plus.

Working knowledge of the FAR and GSA Multiple Award Schedules, a plus.

Strong proficiency with Microsoft Office (i.e. Excel, Outlook, Access, PowerPoint, Word, Visio, etc.) and Sharepoint.

Must have good organizational and time management skills, and have the ability to meet deadlines with appropriate attention to detail in a fast paced, highly dynamic environment.

Ability to manage multiple priorities within expected timelines while effectively managing competing priorities.

Strong oral and written communication skills. Demonstrate the ability to effectively communicate with small and large groups.

Must have a strong customer focus. Demonstrate the ability to build relationships internally and externally to the organization with a focus on meeting or exceeding service and product expectations.

Desire to continually improve systems and processes to increase efficiencies without disrupting day-to-day operations.

Ability to draft contractual instruments in accordance with prescribed templates and guidelines.

Mature judgment, team mentality, organizational and decision making skills, pro-active involvement in department’s strategic issues, and problem resolution are highly desired.

Shows initiative, a positive, can-do attitude, original and independent thinking.

Ability to travel for professional training, as approved by Contract Manager and Training Manager.
