Answer the phone as needed using proper phone etiquette at all times.
Press / PR: filter all press and PR inquiries through the DOM / corporate. Oversee press events / photoshoots and be the main point of contact.
Responsible for Key Operator duties within Daylight, including distribution of inquiries through the MHG portal.
Ensuring that Daylight is updated with current customer information including both contacts and inputting of group inquiries.
Responsible for attending resume meetings.
Pipeline Reports: Run GRC’s, Inquiries and lost business reports for every pipeline meeting.
Send Holiday cards to corporate and group clients.
Keep an updated breakdown of the Sales Team; Names, Extensions, Market Segments and Phone numbers.
Ensure distribution of the department head schedule and morning meeting attendance.
Responsible for VIP reservations directed by Sales Manager.
Consistently thinking of ways to be “out-of the box” to keep the experience new and fresh while maintaining the unique DNA of MHG.
Assist other coordinators with “special projects” for internal and external customers.
Keep record of corporate production, attrition and cancellation.
Route arrivals by 4:00 pm for the following day and for the weekend on Thursdays.
Sort and distribute mail and faxes.
Ensure department maintains adequate inventory for press kits.
Execute Amenity program. Collect daily amenity requests from sales department and process for operations.
Compile and process expense reports from sales managers as needed.
Prepare contracts as need from sales managers including group.
Complete RFP’s as needed. During RFP season (Aug – Dec), track the receipt and delivery dates of each RFP. Point person for RFP Express.

Manage supply inventory
Make sure sales managers receive a copy of the sales meeting minutes within 3 days after meeting
Prepare month end reports
Handle all apartment / penthouse / long term requests
Any other reasonable request made by management that facilitates the operation of the department/hote
KEY REQUIREMENTS:
Must be proficient in Microsoft Office (Excel, Word, Outlook).
Preferred undergraduate degree in Business Administration, Hotel Management or related field.
Having worked in a quality customer centric environment.
