QUALIFICATIONS: Required: High School or GED; Excellent communication and customer service skills; Computer experience. Desired: One year of college or business school; Unit secretary experience; Medical terminology.

ESSENTIAL FUNCTIONS: The Unit Secretary is the receptionist for the patient care unit and is often the first person to greet and assist patients, visitors, and staff. The Unit Secretary coordinates the flow of information at the nurses' station in a positive and timely manner. The Unit Secretary assists physicians, nurses and other health care providers in coordinating the patient's stay. Customer Service: Extends courtesies to patients, staff, families and visitors in a prompt and responsive manner; Assists in monitoring visitor/employee access to patient care unit and alerts security as necessary; Recognizes and facilitates difficult customer situations appropriately, using NMH resources for timely resolution; Assists and directs patients and visitors according to hospital's policy; Answers the phone and transfers calls according to NMH phone standards; Effectively coordinates calls on multiple lines simultaneously; Maintains a clean, uncluttered nursing station; Promptly and accurately answers and responds to all patient calls via the nurse call system in a customer friendly manner; Recognizes patient care requests requiring urgent attention and informs appropriate staff; Assures patients with communication needs are identified at the nurse call system and calls are handled appropriately. Medical Records: Responsible for the maintenance of the patient medical record including but not limited to: Facilitates obtaining past records from tests, procedures or outside facilities; paper record and remains informed of the location; Facilitates obtaining a hard copy of patient's advanced directive if patient indicated he/she has one and places in medical record; Assures physician coverage is appropriately identified; Enters nursing orders in PowerChart as defined by patient care unit; Facilitates data recovery following PowerChart downtime including but not limited to orders for diets, tests, consults, and nursing orders; Prepares medical records on admission, discharge and transfer; Assures patient care unit readiness for PowerChart downtime including but not limited to knowledge of downtime procedures and maintenance of appropriate forms; Promptly reports problems with PowerChart to the CRU HELP desk; Assists with monitoring patient medical record at point of care for regulatory requirements; Performs charge entry accurately. Patient Flow: Performs admission, discharge, and transfer activities in a timely manner; Notifies the appropriate nurse and physician upon patient admission; Assists in assuring patient has appropriate hospital identification on admission; Prepares patient chart: to be sent to medical records after patient discharge, for discharge to another healthcare facility, for transfer to another inpatient unit or the OR; Requests patient escort when appropriate; Tracks patient scheduling for tests and procedures and informs care providers of anticipated time; Tracks patient activity on and off patient care unit - monitors and updates bed tracking; Verifies unit census for accuracy; Other duties and responsibilities supporting patient flow as delegated by the manager. Desk Flow Clerical Organization: Receives and distributes patient care unit mail and various items to patients; Accepts deliveries and stocks in appropriate space; Places service requests for equipment and repair and follows up to ensure repair is complete; Maintains and tracks an adequate supply of forms and clerical equipment according to patient care unit standards; Accurately completes and submits supply requisitions; Perform basic computer/printer maintenance: add paper, toner, fix printer jams; Assists with oversight of IT devices on unit and promptly reports problems to the CRU HELP desk; Maintains list of staff assignments; Demonstrates ability to use computer technology required in job including, but not limited to PRIMES, PowerChart, Patient Scheduling System, Patient Tracking System, PeopleSoft, Sentact, Nurse Call System, Intragale Scheduling, Outlook and Infant Security System as required on patient care unit; Attend appropriate training classes necessary to perform job; Other duties and responsibilities delegated by the Manager.
