The Office of University Advancement is looking for an energetic professional to join our development team as an Administrative Assistant. This position provides administrative and operational support to the fundraising activities of the Health Sciences Center Campus professional staff. The position requires someone who will make administrative judgments; handle multiple priorities and confidential issues, advise administrators on university policies and procedures, serve as technical resource for administrative staff and perform special assignments and projects, including research and analysis.
Responsibilities: Serve as personal assistant to designated members of the fundraising and alumni relations staff for the Health Sciences Center Schools. Coordinate and manage office functions, including critical correspondence files and records, calendars, travel arrangements and expense reports. Process, draft and edit documents, correspondence and administrative reports. Handle multiple priorities, confidential information and sensitive issues with discretion. Advise professional staff on university policies and procedures, and act as technical resource. Perform special assignments and projects, including donor and donor prospect research, and data analysis. May represent supervisors at meetings to furnish or obtain information. Cover the receptionist area and deliver gift processing documents to the Advancement Services central processing center on a rotating basis with other support staff. Perform miscellaneous clerical tasks such as filing and typing.
Candidate must exhibit a high level of accuracy, proven organization and time management skills, attention to detail, ability to handle demanding deadlines and confidential information, and possess strong interpersonal relationship skills. Candidate must possess a strong aptitude for using databases, contact management, electronic calendaring and communication programs effectively and be a highly skilled user of Microsoft Office Products.
