Job Description:
This Senior Information Specialist position is located in the Clinical and Translational Science Institute ( CTSI ), which is the academic home for clinical and translational research and training at UF. The CTSI integrates, aligns and supports scientific and educational activities spanning 16 colleges, multiple academic and clinical campuses and collaborators throughout the state.

We are seeking a strong and versatile writer with excellent organizational skills who will develop and implement internal communications plans for CTSI initiatives, develop and produce content for a variety of print and electronic communications, coordinate activities and events for internal and external audiences, strengthen the CTSI’s understanding of the communications needs and preferences of its internal audiences, and develop and implement dissemination strategies for CTSI communications materials.

A member of the UF&Shands Communications team, the CTSI Information Specialist will work under the direction of the CTSI Assistant Director for Communications and will be located in the CTSI office. With an emphasis on internal audiences including staff, faculty and clinicians, the CTSI Information Specialist will ensure a coordinated approach to communications, working closely with the CTSI Home team and the UF&Shands Communications staff to ensure effectiveness, avoid duplication of effort and ensure adherence to uniform standards and policies.

Essential functions of the job:

1. Writing and Editing
Writes and updates content for a variety of print materials describing CTSI resources, including fliers and posters. Scouts story opportunities, conducts interviews and background research, and drafts stories about CTSI -supported activities.

Writes listserv emails and other electronic communications targeting CTSI audiences. Writes, edits, formats (text and images) and publishes CTSI website updates using WordPress. Assists with creating and maintaining a social media presence for the CTSI .

Complies with editing, review, news distribution and identity/ branding policies of UF&Shands Communications and the university.

2. Public Relations
Serves as communications liaison for CTSI programs to help identify communications needs and develop goals and solutions. Helps advance CTSI cost-recovery goals by advising programs on communications and marketing resources and strategies. Develops and maintains shared communications tools for CTSI programs.

Promotes, prepares materials for and arranges CTSI seminars and events. Arranges CTSI participation in campus and community events.

Responds to inquiries from researchers and other stakeholders. Assembles and/or verifies information for fact-checking, media and other communications inquiries in close coordination with UF&Shands Communications.

Participates in UF&Shands Communications and/or national CTSA Consortium initiatives, projects and committees, as appropriate.

3. Planning and Reporting
Conducts target audience, background and benchmarking research for CTSI communications projects.

Develops, implements and updates internal communications plans for CTSI initiatives and recurring activities. Participates in CTSI strategic communications planning.

Compiles website analytics and other metrics used to track effectiveness of CTSI communications.

Compiles data and materials for CTSI communications-related reports.

4. Dissemination and Production
Develops and implements strategies for disseminating CTSI stories, announcements and communications materials to internal and external audiences.

Manages day-to-day activities for CTSI communications projects. Arranges and facilitates creative services (e.g., graphic design, videography, photography). Facilitates review and approval processes required for CTSI communications materials.

Updates and creates fliers, posters and other communications materials using CTSI templates in Microsoft Publisher, PowerPoint and other graphic design programs. Identifies and obtains photos and graphics for communications projects. Prints, mounts, delivers and displays fliers, posters and other communications materials.

5. Administrative Support
Arranges interviews and meetings for CTSI -related communications projects. Drafts meeting notes and project/ process documentation.

Maintains CTSI listservs, contacts and mailing lists.

Requests, orders, picks up and/or delivers materials or supplies when needed (occasional driving and light physical activity may be required). Organizes and maintains CTSI communications files.

Completes required trainings and participates in drills as requested.

Other duties as required.

Minimum Requirements:
A high school diploma and seven years of appropriate experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.

Preferred Qualifications:
1. Excellent writing, spelling, punctuation and grammatical skills, and knowledge of Associated Press style.
2. Ability to plan, execute and complete work assignments independently, efficiently and accurately while working as part of a team in a fast-paced, high-profile and multidisciplinary work environment.
3. Ability to learn and communicate effectively about a variety of technical resources and complex research programs and initiatives.
4. Strong analytical thinking skills.
5. Ability to meet deadlines and handle multiple tasks.
6. Strong organizational skills and attention to detail.
7. Professionalism and good judgment.
8. Proficiency in Microsoft Office Word, Outlook, PowerPoint and Excel.
9. Experience with social media platforms such as WordPress, Facebook and Twitter, and familiarity with Google Analytics.
10. Familiarity with the fundamentals of good graphic design. Familiarity with graphic design software programs such as Microsoft Publisher, Adobe InDesign or Quark XPress.
11. Familiarity or experience with health care and/or academic research environments.
