Track and coordinate all scheduling (meetings, conference calls, trips), travel itineraries (high volume of complex domestic and international travel) monthly expense reporting, check request reconciliations, and deadline tracking

Ensures that the COO is well prepared for and alerted to all appointments

Remain aware of all important elements pertaining to the COO and Director of HR including memberships, events, appointments, news, volunteer projects etc.

Effectively maintains files, organizes COOs work space and calendar, and handles flow of information, communication, and correspondence into and out of the COOs office including opening, rerouting flagging and discarding mail, email and other communication items

Assist in the formatting and development of reports, presentations, and spreadsheets; developing and maintaining documents and files; conducting research via the Internet, telephone and other means

Perform a variety of administrative tasks which may include using discretion when handling highly sensitive information, personnel information, drafting and proofreading correspondence, and preparing minutes from meetings. Ensure that key documents bearing the COO and Director of HR signatures are of highest quality

Research, compile and assist in the analysis of data or information and coordinate distribution of materials or information with internal and external entities as requested

Prepare travel expense reports, timesheets, and check requests

Serve as a scribe at meetings coordinated by the COO and Director of Human Resources

Support meeting coordination and set up (rooms, equipment, refreshments, Webexone) weekly leadership team, meetings with external parties, large groups, board meeting, management interviews etc.

Serve as back up support for the receptionist

Attend meetings as requested and conduct other duties as assigned

Competencies of Successful Candidates
Four (4) years of experience providing administrative support

Two (2) years of college and/or associates degree preferred

High level experience with MS Word, Excel, PowerPoint, Outlook and Publisher

Strong written and oral communication skills including strong proofreading abilities and presentation skills

Ability to organize self and others while simultaneously maintaining flexibility

Experience taking meeting minutes and organizing data

Experience managing offices and schedules

Experience orchestrating meetings with input from others

Willingness to function as part of a team

Skill at being aware of and dedicated to meeting deadlines
