Coordinates the office management duties including office build outs, office moves, office furniture, ergonomics, security (including the Lenel Security System), mail processing & delivery logistics, copiers, printers, graphic requests, records management, Company Fleet and rental vehicles, Company housing as well as Company internal and external functions for the various Bakken Asset Team locations. These locations would be in Dickinson, New Town, and Dunn Center, North Dakota.

Responsibilities:
Provides mentoring, guidance and overall coordination for administrative staff members located in the North Dakota field offices of Dickinson, New Town, and Dunn Center.
Provides mentoring and guidance for drafting and facility drawings being generated by the North Dakota technical teams.
Coordinates all printing and graphic services for the Bakken Asset Team including multi-functional printers, plotters and personal printers including maintenance, repair, consumables and purchasing as well as graphical requests for maps, posters, brochures, flyers, signs, etc. Interfaces with IT and Global Procurement teams to ensure all office equipments (copiers, plotters, phones, etc) are working properly and in cost effective manner).
Coordinates third party vendors for cabling, move management, offices build outs, office furniture to monitor quality and cost. Provides recommendations to management for approval of necessary contracts and expenditures for purchases and office maintenance contracts
Coordinates all aspects of the mail distribution, mail processing and shipping and receiving functions including the receipt of incoming mail, priority packages and freight; the preparation of all outgoing mail, priority packages and parcel shipments; processing of promotional materials and outgoing corporate mailings and stays abreast of postal regulations.
Coordinates the activities associated with proper ergonomic techniques for employees and contractors and Americans with Disabilities Act (ADA) compliance.
Coordinates day to day security operations of the various office facilities as well as the development of safety and security plans, (as approved by HES&S).
Coordinates the administration of Company records and ensures proper application with established Records Management Policy for the retention and disposal of stored records.
Coordinates the administration of Company fleet vehicles as well as rental vehicles including maintenance, scheduling, repairs and replacement.
Coordinates all aspects associated with company leases and ownership of homes and/or apartments
Manage all building repair and maintenance issues for both owned and leased office space. Evaluates contracts in place and makes recommendations for cost savings opportunities. Makes sure proper maintenance schedules are developed for all 4 buildings.
Continually updates office orientation for all visitors and orientation & on boarding of all new employees. Issue access badges to new employees.

Qualifications:
Education: Bachelors Degree is preferred or 5 years of experience is preferred.
Computer Skills: Intermediate skill level in Marathon’s core computer applications (MS Office: Outlook, Word, Excel, Power Point) is required. SAP experience is preferred.
Time Management: Ability to handle and prioritize multiple tasks is required.
Communication: Must possess excellent communication, teamwork, planning, and organizing skills.
