Office Administrator/Receptionist

Position Summary: This position is responsible for maintaining the reception area including receiving visitors, distribution of mail, answering incoming telephone calls, and directing inquiries, as well other assistance as requested by staff and management. In addition to these duties, this position will be responsible for the overall atmosphere of the reception area of the Mabee Building so as to promote TLC’s mission of service.

Critical Functions of Position:
Provide initial greeting and assistance to guests, visitors and staff, thereby setting the initial tone of KidsTLC’s Customer Service
Responsible for the overall professional and service oriented atmosphere of the reception area of the Mabee Building.
Handle incoming calls and inquiries by telephone, fax or mail.
Maintains agency wide Pictorial Directory
Greet and attend to incoming or potential clients and families.
Must have the ability to assess sensitive and confidential situations and react accordingly.
Provide administrative support to the HR department, TLC staff and management as requested.
Maintains the cleanliness and overall aesthetics of the front desk and entry way area.
Perform other duties as assigned or requested.

Required Skills: Must have excellent oral communication skills including professional phone etiquette. Basic written skills including grammar, spelling, punctuation, and formatting and mathematical skills. The employee must have the ability to express or exchange ideas by means of written and verbal communication with both internal and external customers. The employee must have the ability to convey and receive detailed information or important instructions to and from various sources. Willingness to work as member of a team. This position must possess and demonstrate extensive knowledge of all TLC programs. The employee must have the ability to respond to crisis and conflict with confidence and professionalism. This employee must have the ability to exercise tact, patience, and discretion in dealing with the public, TLC staff, law enforcement, and representatives of social service agencies and have the ability to multi-task and establish priorities. Must be very detail oriented and have exceptional organizational skills.
