POSITION RESPONSIBILITIES:
The University invests over $1 billion in a variety of investment instruments through separately invested accounts and a unitized investment pool. As a member of the Office of Investment Management, the Associate Controller - Investments reports to the Chief Investment Officer and serves as the principal liaison with the Controller’s Office and ensures close coordination of investment and endowment accounting responsibilities in both areas. The role has three primary components:
Investment accounting and cash management: ensure that appropriate processes and procedures are in place to record, monitor and report on all University investments in an accurate and timely fashion; work closely with the cash management team to coordinate cash requirements funded by University investments as well as requirements to fund University investments; assist in month-end close processes; and contribute directly to quarterly and year-end financial and compliance reporting of investments.
Endowment fund accounting: maintain endowment books-and-records, including tracking of unit ownership by each endowment account; updating accounts with realized and unrealized gains and losses; distribution of income to each account; and coordination with Restricted Funds Analyst to ensure funds are properly spent.
Investment operations, due diligence and monitoring: review manager account statements, financial reports and fee calculations; supervise document management of both manager reporting and internal due diligence and monitoring; coordinate responses to annual audit of investments; and participate in operational elements of manager due diligence and monitoring.
Responsibilities:
Accounting of investment funds, whether directly invested or invested by others on behalf of the University.
Reviewing investment agreements and financial statements to ensure the University maintains complete and accurate accounting records.
Ensuring that documentation of due-diligence/monitoring procedures is complete and well-organized which includes but are not limited to: maintaining alternative investment manager checklist, maintaining a case file for each fund manager, tracking fund manager performance, meeting periodically with representatives of each investment manager, reviewing monthly, quarterly and annual statements provided by fund managers, investigating changes in valuations, tracking initial committed capital, cash flows, and remaining capital commitments, collecting and reviewing annual audited financial statements for all alternative investments, tracking receipt of quarterly limited partnership financial statements used to reconcile and update fair values, rolling forward ending balance from prior period, and verifying capital calls and distributions.
Participating, in conjunction with investment analysts, in operational due diligence /monitoring, including regular contact with manager Chief Financial Officers/operations groups, third-party administrators and prime brokers.
Providing coordination and research support for external and internal audits.
Assisting in month-end, quarterly, and year-end closings and preparing investment analyses, footnotes, and specific operating statement and balance sheet account reconciliations related to endowed funds and other invested funds.
Developing and maintaining endowment unitization and income distribution, including the distribution of endowment appropriations to unit-holders on a periodic basis. Maintaining records of underwater endowment funds.
Assisting with addressing Internal Audit and Management Letter Comment findings.
Providing monthly updates, analyses, and projections.
Working closely with the Chief Investment Officer and Controller to streamline procedures, gain operational efficiencies, design and document internal controls, improve communication, and prepare appropriate policy documentation.
Performing special projects and general accounting assignments as assigned.
QUALIFICATIONS: Experience and Educational Background :
Bachelor’s degree required. Master’s in Finance or CPA preferred.
Investment accounting experience required.
Supervisory experience a plus.
Non-profit experience desirable.
