Recruitment Assistant, International Development

is seeking qualified candidates for the position of

Recruitment Assistant

in the Business Development Division (BD) at its headquarters located in Washington, DC. The Recruitment Assistant provides administrative, document, and data management support to the Recruitment Team and Business Development (BD) Division in proposal preparation and recruitment systems implementation.

Responsibilities:
Proposals

Supports proposal development through the preparation of resume annexes, personnel matrices, USAID bio data forms, and all other personnel-related documentation

Conducts high-end formatting of resumes. Drafts personnel matrices for technical proposals. Responsible for accurate and up-to-date tracking of all personnel-related materials for subcontractors and IRG/Engility staff/consultants

Drafts resume and letter of commitment templates and samples based on RFP requirements

Participates in proposal staffing strategy meetings and corporate proposal reviews

Ensures that proposal-related personnel information is filed accurately and in a comprehensive manner, including in the consultant registry

Project support

Prepares documents for submission to clients based on company formats and standards, including resumes, USAID bio data forms, references, and bio blurbs

Data management

Primary responsibility for the quality maintenance of the resume drive and consultant registry database. Tracks and files resumes, USAID bio data forms, references, and all other personnel-related information in central files. Manages the invitation process for new and updated consultants, including sending, tracking, uploading and entry of consultant registry forms and detailed information

Serves as Recruitment Team's Subject Matter Expert in the consultant database of 13,000+ experts

Supports the administration of multiple email boxes and high volume electronic communications in a rapid and efficient manner

Oversees job fair participation and represents IRG/Engility at job fairs and external functions

Ensures that all HQ and project staff information is up-to-date in the consultant registry, S: \ drive, Q: \ drive, and Oasis.

Conducts and fully documents results of educational credentials checks for proposed staff, and provides support in reference checking and other credential verification

Coordinates invoice and cost tracking for recruitment

Provides general administrative support inclusive of basic clerical tasks such as copying, faxing, printing, packaging, labeling, mailing, and filing of personnel-related documents

Conducts online and other research on business development issues as appropriate

Other duties as assigned

Qualifications

Bachelor's Degree

Minimum one year cumulative work experience in an office environment

Advanced-level computer proficiency in Word and Excel. Experience with high-level formatting preferred. Database experience preferred, including MS Access

Strong administrative, organizational skills, and the ability to pay attention to detail

Ability to demonstrate proof-reading capabilities and the ability to learn business practices and processes

A professional demeanor, the ability to work effectively in a culturally diverse team environment and maintain excellent work relationships is necessary

Ability and flexibility to work independently and with teams in a fast-paced deadline driven environment is desired

Proven interest in international development preferred

Knowledge of foreign languages is desirable (specifically, Spanish and/or French)
