Women etics is an event and media company working with and promoting recognized corporate brands and companies that expect a high level of excellence and is seeking an experience d Executive Administrative Assistant to the Chief Executive Officer and President. The CEO is focused on revenue and outreach to external customers and will depend on this position to facilitate all goals around those initiatives.

The ideal candidate for this role will be detail-oriented, creative, innovative and upbeat. This person will be able to take charge and think independently while learning “on the fly” in a fast-paced entrepreneurial environment. Everyone works independently and collaboratively between departments as well as with external clients. This position is central to all departments in the company and will span several disciplines including general administration, customer service, financ e support , sales & marketing support, event support, and database management . E xcellent spelling, grammar, and presentation skills are essential to this position.

Experience and Education Requirements
  • 7+ years of experience
  • Associates degree or equivalent university degree preferred
  • Experience working with a Chief Executive Officer or President
Software and Equipment Requirements
  • Working knowledge of copy, scan and fax machine
  • Advanced experience with internet research
  • Advanced experience with Microsoft Word, Excel, PowerPoint, and Outlook
  • Advanced experience with contact relationship management (CRM) systems; Salesforce experience ideal
General Duties
  • Answer incoming phone calls
  • Distribute incoming email
  • Order office supplies
  • Copy, scan and fax documents
  • Maintain office equipment
  • Maintain company calendar
  • Make hotel and airline reservations
  • Assist with new hire processing and employee reviews
  • Track personnel vacation and personal leave
Marketing & Sales Support
  • Assemble information for meetings
  • Compile, proof and format proposals
  • Generate weekly social media reports
  • Maintain CRM following company data plan
  • Generate CRM reports
  • Maintain mailing lists
Financ e Support
  • Maintain sales log with ticket sales, invoicing and payment processing
  • Generate weekly reports
  • Create invoices
  • Contact clients with past due receivables
Event Support
  • Maintain event budget with income and expenses
  • Maintain event log with registration s
  • Generate registration list s and p rint name tags
  • Print and compile program handouts and materials
  • Generate “Run of Show” agenda and logistics reports
  • Interface with event planners, venue staff and suppliers
