The Assistant Director for Operations Reporting supervises a section; analyzes and Evaluates departmental policies and procedures; develops and supervises maintenance of general accounting and statistical record systems; recommends personnel actions, e.g., hiring, promotion and termination.

Key Functions and Expected Performances:
Develop goals and objectives for the select Patient Care Centers (PCCs) based on interpretation of institutional policy and goals.

Lead and manage the VUMC Finance professionals who support Senior Leadership teams responsible for laboratory services, supply chain, financial reporting and support services ensuring quality, service, and efficiency to meet business goals and develop of customer satisfaction.

Work with Associate Director VUH Adult Services; Associate Director MCJCH and Assistant Director of the PCCs in the development of operating and financial goals and objectives for VUMC Operating Entities. Position will represent Finance in analysis of goals and various courses of action and tactics to achieve strategic objectives.

Facilitate reconciliation of actual performance to budget expectations and reporting significant variances from budget for ancillary areas. Work with VUMC Finance Leaders and Leadership Teams to analyze operating units below budget and make recommendations to improve financial performance.

Assist Senior Leadership in understanding the financial impact of decisions and various strategies.

Ensure the most effective operations of the Operating Rooms and Ancillary Services through program development, process improvement and coordination/integration of processes with Vanderbilt University Hospital, Monroe Carell Jr. Children’s Hospital (MCJCH) and Vanderbilt Medical Group.

Supervision to include responsibility for planning, coordinating, and controlling the work and procedures; provide advice/consultation to Operating Room and Ancillary Services staff in support of the Senior Leadership Teams.

Participate on departmental and/or interdepartmental committee meetings to address problems and facilitate information exchange about programs, problems, etc. Provide information to others (oral or written) to explain/clarify problems, issues or requests.

Primary responsibility for on-going financial operations reporting and analysis services to improve efficiency. Primary responsibility for FTE reporting analysis.

Define and achieve financial targets in support of business goals of the institution.

Assist the Senior Leadership with the preparation of the annual operating budgets for their areas of responsibility. Requires monitoring of budget progress throughout the budget cycle and analysis of Operating Room and Ancillary Service initiatives to appropriately reflect the impact of these initiatives on VUMC budgets. Coordinate budget presentations by Senior Leadership, maintaining documentation for decisions and performing necessary follow-up.

Collaborates in the development of volumes and budget spreads for volumes and procedures.

Assist the Chief Supply Chain Officer with the capital submission, tracking and reporting process for the PCCs .

Develop cost reduction projects and targets in collaboration with subordinate managers and operating department managers. This includes supporting VUMC strategic positioning activities and individual PCC improvement initiatives.

Analyze and evaluate budget variance to determine cause.

Create and exceed service standards utilizing key service dimension and from knowledge of patient/customer expectations and best practice.

Participate in establishing service standards for the VUMC Department of Finance. Work with peers in the VUH Adult, Monroe Carell Jr. Children’s Hospital, Patient Accounting, Financial Forecasting and VHS as necessary to deliver the most accurate and timely information to Senior Leadership. Serve as an ambassador and liaison for all VUMC Department of Finance activities and team members to Senior Leadership.

Ensure that the service standards established for within VUMC Department of Finance are met or exceeded. Goal to add value in addition to reporting timely and accurate financial information.

Contribute to Hyperion Report development.

Create an organizational culture (both within and across VUMC Department of Finance) that provides a safe, satisfying and enriching environment for and provides a qualified, competent staff to meet the needs of Senior Leadership.

Define the qualifications and performance expectations for all staff positions through the Performance Evaluation System (VPES), including department-specific job descriptions and measurable performance standards.

Create an environment that encourages and supports self-development and learning for all staff through regular feedback, orientation, training programs, work experiences and timely assessments of competency as measured against performance expectations stated in the job description. Develop staff by serving as both mentor and coach. Provide staff opportunities to increase their knowledge base and develop their leadership skills.

Conduct monthly staff meetings to share essential information with staff and discuss current problems and future plans.

Ensures all Human Resources and VUMC policies and procedures are followed according to standards.

Identify, establish and evaluate quality assurance standards, programs, and procedures within VUMC Department of Finance.

Establish and evaluate standards of performance to ensure safe, effective, and efficient operation of the section.

Ensure that standards are met within area of responsibility to assure clinical enterprise accreditation/licensure.

Basic Qualifications

Job requires Bachelor's degree in Accounting, Finance or related field and 4 years of progressively responsible experience in the healthcare industry or the equivalent.
