Reporting to the Director of Study Abroad, the Associate Director for Program Management will be responsible for successful program implementation of 60-100 study abroad, exchange, and transfer credit programs annually. This position will manage a portfolio of programs, but will also oversee a team of program managers who maintain their own portfolio of programs, will lead cross-functional teams composed of staff members from Advising and Marketing and Operations, and will provide the main point of contact for external stakeholders such as faculty and partners. As such, the Associate Director for Program Management will have a broad understanding of the overall Study Abroad offerings, second only to the Director of Study Abroad. This position will be responsible for quality of service provided by the cross-functional teams lead by the program managers. The Associate Director for Program Management will develop and implement regular program assessment procedures in collaboration with staff and faculty, and will be responsible for evaluating the viability of new programs. This position will also lead the first level of crisis response within the study abroad office. The Associate Director for Program Management will have both administrative and supervisory responsibilities and will play a key role in ensuring the success of program implementation for both students and faculty. This position will serve in the capacity of Director, Study Abroad, as needed and at the direction of the Director of Study Abroad in his/her absence.
Principal Duties and Responsibilities
Serve in the capacity of Director, Study Abroad, as needed and at the direction of the Director of Study Abroad in his/her absence.
Hire, train and supervise the three staff members of the Program Management team, who are responsible for the overall design, management, organization, and implementation of all study abroad programs.
Assign program portfolios to Program Managers and resources to project teams, and monitor both individual and team performance in successfully leading programs to completion.
Lead program managers responsible for cross-functional support teams of study abroad staff (management, advising and operations) to ensure smooth program set-up, marketing, enrollment, implementation and overall academic and operational success of each program for everyone involved.
Serve as the final point of contact for any faculty associated with a study abroad program on the resolution of issues including, but not limited to, creation of itineraries, logistical arrangements, student advising, marketing and application management, financial and budgetary concerns, enrollment and program evaluations, etc.
Resolve issues escalated by program managers for their portfolios.
Participate with program managers to assist faculty who lead programs to countries with communication updates and travel warnings, adhering to and maintaining compliance with related university policies and protocol.
Serve as liaison and partner for international and domestic universities and third party study abroad providers associated with each program.
Work with faculty directors to comply with university policies and procedures, such as Travel Warning Requests and other university requirements related to Study Abroad.
Make critical decisions regarding the viability of new programs, implementation of new program models and assigning the appropriate program manager of a cross-functional team once programs have received both curricular and operational approval.
Work closely with all program stakeholders to understand and interpret program goals in order to design effective programs and monitor their success (e.g. academic goals, intercultural competency goals, and operational goals).
Identify metrics and regular program assessment tools to measure, evaluate and report overall program success.
Synthesize and analyze data gathered from students and faculty and the program managers status and evaluation reports to improve overall program implementation and better serve students.
Implement new measurement and assessment tools based on analysis and recommendations, with approval from the Director Study Abroad.
Lead the first response for all crises within the study abroad office, mobilizing teams and directing all activities.
Develop and implement procedures to identify, assess, and implement study abroad crisis responses.
Ensure ongoing monitoring for existing and potential crisis situations that may impact study abroad programs: crises will range from individual student crises (e.g. illness or accident) to large-scale political or natural disasters occurring on site or in the United States.
Work closely with the director of Study Abroad to ensure the International Programs Crisis Management Team and relevant leadership are notified and aware of significant events and actively involved in assessing the scope and scale of a crisis and supporting DePaul’s official response.
Recommend response and action plans and be responsible for successfully implementing a solution with the support of the Study Abroad Operations and Advising teams and other staff in the International Programs Office as needed.
Serve as the primary contact for international partner(s) abroad in the time of a crisis to effectively bring the crisis to a satisfactory resolution.
Oversee 3 full-time staff as program managers, plus 2-3 student workers.
Provide regular performance feedback and be responsible for developing and leading a functional team that directs cross-functional project teams. Leads team to work collaboratively to ensure overall programmatic success, program-by-program, portfolio-by-portfolio, and across the entire collection of program models and program offerings within the study abroad office each year.
Work closely with Study Abroad Operations Team and International Programs Business Manager to assess and ensure overall program viability based on program budget, operations and enrollments over time.
Perform other duties as assigned.
M.A/M.S. in international education or related field, or equivalent experience.
Significant supervisory and program management experience in an administrative position within university international education and study abroad.
Extensive knowledge of study abroad best practices and experience working abroad with international partners and institutions.
Expert knowledge of study abroad program models and best practices in the field.
Demonstrated leadership and supervisory abilities in International Education.
Excellent writing, editing, communications, presentation and interpersonal skills.
Familiarity with complex concepts, practices and procedures within study abroad.
Must be familiar with complex concepts, practices and procedures within study abroad and familiar with latest trends and best practices throughout the field.
Must demonstrate an ability to rely on experience and judgment to make decisions and accomplish goals.
Must be able to set and meet deadlines and motivate others to do so.
Must be committed to collaborative, team work style and diversity in the work place.
Proficient in Microsoft Office products.
Proven ability to work successfully with domestic and international faculty and staff.
Ability to relate and be sensitive to diverse cultural backgrounds.
Ability to travel domestically and internationally as needed.
National and international travel may be required.
Occasional duties on weekends or evenings.
5 or more years of experience in the field of educational administration with both supervisory and program management responsibilities.
3 years supervisory and program management experience in an administrative position within university international education and study abroad.
Foreign language proficiency and overseas work or living experience.
Working knowledge of principles of counseling and total student support services in a university setting.
Experience with Studio Abroad and PeopleSoft.
