HR Administrative Assistant
This position provides administrative support for the Human Resources department, directly reporting to the HR Services Manager, but taking direction from multiple HR leadership positions. This position serves as the first point of contact for the HR office and is the general administrative support point for various duties throughout the department, such as printer and copier machine issues, meeting coordination and conference room reservations for department and various others from the HR function and supply orders.
Function Support: Coordinate monthly staff meetings, town halls and other calls/webinars as needed, update internal documents (phone directory, calendars, org chart, etc.), maintain/order office and printer supplies, assist with employee inquiries and calls, storage room organization and maintenance, coordinate processing of invoices and IT liaison support as needed. Also responsible for travel arrangements and completing expense reporting for VP of Labor Relations and select positions as requested.
General HR Administrative Duties: Manage parking process, including assign parking and set up/shut off parking deductions, create/send weekly career announcements, fulfill recognition requests and report usage, manage HR SharePoint site, including security, manage TRIM process for HR and records archiving/destruction processes, maintain HR required postings for building .
New Hire Processing Support: Serve as initial contact for new hires, schedule appointments for paperwork, complete I-9’s and other new hire paperwork as required and coordinate processing with the HR employee services team.
Other administrative duties as assigned.
High School Diploma
Minimum of two (2) years’ experience working in an administrative, office, clerical, and/or customer service focused professional work experience
Strong, proven proficiency with Microsoft Office Products (Excel, Word, PowerPoint, Outlook)
Ability to quickly master new software applications
Excellent communication skills (verbal & written)
High level of professionalism and ability to handle confidential and highly sensitive information
Strong organizational skills with high attention to detail
Ability to work in a fast-paced environment handling multiple priorities and resolving routine problems in a timely manner
Ability to work independently and take initiative, while exhibiting teamwork
Some college coursework
Experience with SharePoint and/or Web pages; Microsoft Access; DreamWeaver; HR applications/systems
Meeting and event planning experience
