GENERAL DESCRIPTION – SummaryThe Office Services Specialist is responsible for providing clerical and technical support in the areas of Facility Management and Operations – including the physical appearance of office space, administrative support to executives and mail/reception dutiesESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Assist property management with all-office and Horton specific maintenance requests Work through employee complaints and issues as it relates to facilities, HVAC, furniture, elevators, and other building items Handle Event Planning for all-agency functions, producer or executive functions Serve as a liaison and primary contact for property managers, sub-contractors and vendors Manage Philanthropy decisions and payouts Manage the off-site storage and dead files in basement; destroy applicable files annually Coordinate Furniture or Fixture requests, specifically as it relates to acquisitions and office/workstation moves Negotiate and monitor shredding and other service contracts Maintain database and track education tracking and reimbursement Schedule webinars and registration for agency wide meetings Coordinate corporate training classes and soft skill classes Train employees in any company-wide software rollouts Schedule coordinator and management training quarterly Complete Intranet updates to Home, Training and Wellness tabs Apply for training grants, if applicable Develop and maintain purchasing plan for corporate expenditures Assist with maintaining and updating the Business Continuity Plan Conduct Semi-annual ergonomic check-ups and track any employee issue Coordinate Lunch and Learn Meetings Maintain and manage service requests for all Horton facilities Maintain Emergency Response Leaders & maintain ERL Accountability Lists & Reports. Provide training to new ERL Coordinators Perform a monthly evaluation of all branch offices Work with Wellness Committee to provide office facility information Process all incoming mail Provide back-up on scanning correspondence mail Assist in mailroom as needed Provide reception and mail backup Provide back-up on outgoing mail Research new products and ideas to improve service levels within the team Assist in miscellaneous task with direction from Director of Professional Services
KNOWLEDGE, SKILLS, AND ABILITIES A college degree is desirable or equivalent combination of education and experience Proficient in Microsoft products such as Outlook, WORD, EXCEL, POWERPOINT and ACCESS etc. Excellent communicator with the ability to do effective presentations to all sizes and groups 1-3 years of experience, preferably in an adminstrative role. Able to travel by air or ground transportation as required in performing job duties.The Horton Group offers competitve pay and a comprehensive benefits package.
