Assist in the coordination of the DFA Vendor and Specification Programs. Facilitate vendor and specification related communication with DFA’s vendors and DFA’s customers. Conduct on-site qualification audits and helps implement procedures that drive centralization and standardization.

Duties and Responsibilities:
- Vendor Information Questionnaires:
+ Ensures that all vendors receive the Vendor Information Packets (VIP’s)
+ Ensures that all required documentation is received, as required from the VIP’s, in a timely manner and follows-up with any necessary corrective actions
+ Reviews information submitted by vendors to ensure that their programs meet the DFA Quality Expectations for vendors and determines approval status of manufacturing locations of DFA vendors
+ Performs risk assessments of vendors according to criteria established in DFA Vendor Approval procedure
+ Conducts on-site warehouse, raw material and co-manufacturer audits when determined to be necessary by the vendor’s assigned risk level
+ Maintains master auditing lists and approved vendor lists
+ Follows-up with vendors regarding any required corrective actions resulting from on-site audits
+ Communicates with Vendors and within DFA’s Supply Chain, QA&C, and Operations groups effectively regarding any non-conformance issues at the vendor
+ Ensures that all co-manufacturers have current copies of finished product specifications and are meeting all requirements of the DFA Quality Expectations Manuals for vendors
+ Maintains current lists of all emergency vendors and monitors the frequency of use to determine if they shall be added to the “Approved Vendor” lists
+ Ensures that the audit forms and guidelines are kept current

Additional Duties As Required:
- Assists and serves as a back-up to the Vendor and Specification Program Coordinator which may include:
+ Aid in the maintenance of standardized DFA specifications for all locations and facilitate approval of externally created specifications
+ Deliver specification notices of change or creation to production facilities and coordinate necessary updates in computer systems
+ Manage updates to co-manufacturers’ finished product specifications
+ Assist with the archiving of specifications and maintenance of the DFA Index of Specifications
- Coordinate DFA responses to Customer requests for DFA vendor information, primarily utilizing a database of standard responses and reaching out to appropriate Quality Assurance personnel at the plant and corporate level or Research & Development for assistance when necessary
- Assist with DFA’s Vendor Programs:
+ Assist with requests for information from vendors and the proper filing of responses from the vendors
+ Compile and manage vendor complaint data
+ Assist with annual vendor evaluations and the maintenance of the QA&C Approved Vendor List on the DFA Portal

- Bachelors Degree in Science, Business or related field
- 1-2 years experience working in a food manufacturing facility
- Must have experience with vendor auditing and qualification programs
- Familiar with raw material, finished product and packaging specification creation and technical requirements
- Familiar with general food safety principals, HACCP, pest control practices, GMP requirements, organic, kosher and allergen management principles
- Ability to multi-task, work quickly while maintaining accuracy
- Good organizational skills with the ability to schedule and coordinate work assignments
- Work well within a team
- Computer skills- All Microsoft products, familiar with creating and using databases and spreadsheets
- Ability to communicate effectively with customers to ensure all requests are met in a timely manner
- Good communication skills, both oral and written. Proficient in email and business communications
