The purpose of this position is to develop and maintain an efficient scheduling/planning/travel system to ensure that all pilots and flight attendants are assigned duties in compliance with the IBT contracts and Federal Aviation Regulations.


Manages the crew scheduling/planning/travel function of the Crew Resources Department.

Manages the monthly bid process to ensure efficient use of resources while maintaining compliance with IBT contracts and FARs.

Organizes the crew scheduling and planning functions to ensure proper staffing and scheduling of crew schedulers and planners to meet work load demands and deadlines.

Manages the supervisors to ensure workload is performed on all shifts, and effective briefings are performed between shifts.

Ensures that automatic and manual Special Pay Requests are processed in accordance with the IBT contracts and company policy.

Develops and maintain effective communication process linking the schedulers, planner, the Flight Operations Department and the In-flight department to enhance the overall product.

Develops and recommend daily and long-term scheduling and planning reports in conjunction with the IT Department that are user friendly to crew schedulers and planners.

Hires crew schedulers, crew planners and crew scheduling supervisors in conjunction with the Director of Crew Resources and Human Resources.

Develops & maintain a positive working relationship with crewmembers and union representatives.

Participates in contract negotiation discussions to develop enhancements that benefit the company.

Manages the activities of the Crew Scheduling Supervisors/Schedulers including scheduling, ongoing coaching, development and performance management.

Accomplishes and reach department/company goals and objectives without compromising people, processes, norms and ethics and strive for continuous improvement.

Develops and maintains a positive working relationship with the crew scheduling team and other members of the Crew Resources team.

Assists in development of annual and quarterly budget preparation as directed by the V.P., Flight Operations, and to be responsible for explaining budget variances.

Acts as liaison between Travel Broker and World Airways for all daily travel and crew scheduling issues between the entities.

Approves all direct bill invoices for travel services (Hotel, Ground, and Travel Broker).

Assists Accounting with any UATP, Visa, or BTA charge discrepancies.

Updates new vendor (air, hotel, and ground) database in AIMS to ensure that crewmembers are provided with vendor information prior to transiting a new city, and to ensure proper priorities are assigned and expiration dates are updated.

Provides transportation rates to Sales and Marketing Department, when requested.

Responsible for maintaining “Service Log” for Travel Broker issues.

Assist in any investigation of union grievances and work closely with the involved parties to find satisfactory solutions.

Establishes clear, concise and consistent written procedures for all processes related to crew scheduling and planning duties.

Performs other duties as assigned.


A . Education and/or Experience

Bachelor’s Degree in Aviation Management or related field with 7 - 9 years Crew Resources or Crew Scheduling experience (or equivalent combination of education and experience).

Minimum of 5 - 7 years crew resources, crew scheduling, crew travel or aviation operations supervisory experience.

Experience with Cockpit & Flight Attendant I.B.T. Contract

Solid leadership skills, including persuasion/negotiation skills.

Strong customer service skills .

Excellent organization and time management skills.

AIMS Scheduling System.

Excellent working knowledge of the Federal Aviation Regulations.

Ability to interpret union contracts.

Strong knowledge of Travel Services related functions for air, hotels and ground transportation.

A. Travel Requirements

Occasional Traveler (5-20% travel): The incumbent may be required to travel on occasion. Trips may require air travel and/or overnight stay away from home for one or more nights.

The incumbent works in an office environment. This position requires the incumbent to be on-call. Depending on the nature of the on-call requirement, the incumbent may be required to carry a company-issued cell phone.
