GENERAL SUMMARY : Acts as a healthcare access representative to patients and/or vendors utilizing positive public relations skills, when scheduling patient visits or physician schedules. Coordinates clinic services by maximizing resources to meet the demands of patients and/or customers. Provides phone, reception, cleri­cal and scheduling services in outpatient clinic setting. ESSENTIAL FUNCTIONS : Demonstrates professional, appropriate, effective and tactful written, verbal, and nonverbal communication with patient, families, medical staff, colleagues, vendors, and other departments throughout the continuum of care to promote continuity of care and services and enhance clinic image. Demonstrates positive professional customer service in all patient, staff, and visitor contacts. Utilizes interpersonal skills to establish and maintain healthy interpersonal relationships with healthcare members, patients, and families. Acknowledges patient’s rights on confidentiality issues, maintains patient confidentiality at all times, and follows HIPAA guidelines and regulations. Participates in staff development activities and orientation as requested. Proactively acts as patient advocate, responding to and working to resolve patient concerns. Responsible for following equipment maintenance protocol, identifying problems, and coordinating appropriate repairs. Operation of various office machines (i.e. fax, copier, phone, and computer). Participates effectively as a team member in the clinic
        Receptionist:
        • Coordinates on-going patient flow through the clinic process ensuring efficient and effective continuity, accurate completion of all required forms, greeting patients, verifying demographics and insurance information, and coordinating physician releases.
        • Collecting co-payments and/or outstanding balances. Inform patients of financial assistance opportunities
        • Utilizes clinical staff to evaluate and determine priority situations.
        • Follows clinic procedure/protocol for the organization and maintenance of the patient demographics in the computer and maintains the order of the medical record (i.e. test results, retrieval, filing, creation, repair, super billing of medical record).
        • Proactively serves as a patient advocate by utilizing courteous and professional etiquette at all times reflecting positive tone and speaking distinctly with poise, tact and assurance. Assures the conveyance of accurate and complete messages to appropriate personnel.
        • Responsible for the development, tracking and/or completeness of the charge ticket process through the patient visit.
        • Coordinates non-patient customers in the clinic.
        • Maintains professional appearance of reception area.
        • Demonstrates functional knowledge of third party payers.

        Scheduling Clerk:

        Utilizes clinical staff to evaluate and determine priority situations.
        ·
        Responsible for the initiation of a complete charge ticket by collecting and recording pertinent and accurate demographic information at the time of scheduling.
        ·
        Coordinates patient and non-patient customer inquires and requests.
        ·
        Maximizes clinic efficiency by utilizing protocols to schedule visits, maintaining patient wait list, coordinating appointment reminders, and accurately documenting cancellations and no shows.
        ·
        Acts as clinic resource for the maintenance and/or utilization of the scheduling system.
        ·
        Proactively serves as a patient advocate by utilizing courteous and professional phone etiquette at all times by answering phone promptly, reflecting positive tone, and speaking distinctly with poise, tact and assurance.
        ·
        Proactively serves as patient advocate by assuring the conveyance of accurate and complete messages to appropriate personnel.
        Telephone Operator:
        ·


        Answers, coordinates and prioritizes multiple calls to effectively meet clinic needs.
        ·
        Efficiently and effectively routes and/or responds to incoming calls by following clinic protocol.
        ·
        Proactively serves as a patient advocate by utilizing courteous and professional phone etiquette at all times reflecting positive tone and speaking distinctly with poise, tact and assurance.
        ·
        Communicates effectively with answering service to ensure patient access to medical services after clinic hours.
        ·
        Utilizes clinical staff to evaluate and determine priority situations.
        ·
        Proactively serves as patient advocate by assuring the conveyance of accurate and complete messages to appropriate personnel.
        MARGINAL FUNCTIONS:
        • Work includes cross coverage in other clinic areas as team needs.
        • Maintains supply inventory and stocks supplies in various work areas.
        • Participates in Performance Improvement activities as appropriate.
        • CPR certified.
        • Maintains orderly, neat appearance of work area.
        • Miscellaneous office duties (i.e. greeting patients, answering phone, filing and/or retrieving medical records, sorting and distributing mail, updating demographic and insurance information).
        • Reconciles and/or prepares daily bank deposits.
        • Sorts and delivers mail.
        • Reconciles physician resource schedules

        Qualifications

        MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED :

        • High school diploma or equivalency.
        • Six months experience working with public.
        • Knowledge of Medical office practices and procedures, office equipment, medical terminology, data entry, health insurance provider’s rules and regulations.
        • Six months of medical experience or completion of medical program preferred.
          ·
        CPR Certification (obtained within 6 months of start date).
