This position is responsible for assisting the Director of Maintenance with daily duties and tasks. It also includes assisting the Director of Completion, Director of Quality, Regional Maintenance Managers and mechanics when necessary.

A. Education:
  • High school diploma or equivalent, Associates Degree or higher preferred
B. Skills:
  • Proficient in Microsoft Office Suite
C. Experience:
  • Human Resource background preferred
  • Frequently required to sit for long periods of time at desk working on computer
  • Good hearing and speech for phone communications
  • Normal office setting conditions
A. Administrative duties
  • Provides clerical and administrative support to the Maintenance Dept
  • Assists with and/or prepares correspondence, answers phones, collates necessary materials for meetings, conference calls and special events
  • Coordinates Directors Meetings, conference calls and other meetings as necessary
  • Prepares reports and presentations utilizing MS Office
  • Processes mail for the Maintenance Department
  • Coordinates hotel rooms, rental cars, etc. for Directors or RMM travel
  • Assists with various manuals including formatting, collating, copying, mailing and posting to the Maintenance website
  • Coordinates with HR for new hire or random drug testing
  • Reviews and responds to quotes and vendor requests
  • Coordinates with maintenance the needs of the fleet with current assets
  • Reports on the details and locations of some assets
  • Prepares and submits monthly credit card reports for Directors and maintenance department travel cards
  • Coordinates applications with HR and RMM and files necessary new hire paperwork with HR
  • Submits payroll grid to payroll department for Admin 135, Field Maintenance and Quality Control
  • Approves invoicing and code for proper distribution
  • Assists Director of Maintenance with budget allocation as necessary
  • Maintains Operations Manual for Director and Field Maintenance Advisors
B. Supply ordering
  • Facilitates the ordering and shipment of tools and special equipment
  • Coordinates the ordering of phones and computers as needed from the Information Systems Department
C. Other Duties as assigned
  • Provides phone messages to Director of Maintenance, Director of Quality or Director of Completion
  • Assists with payroll questions, reimbursement inquires or credit card issues
  • Corresponds with the FAA for various paperwork/reports
  • Performs well-being checks for maintenance employees and families when a natural disaster occurs within their living area
  • Provides flowers and/or cards as well as contact for any needs that employees may have in an event of family emergency to include, birth, death and accidents
