The Sales Operations & Order Administration Analyst will report to the Manager of Sales Operations and Customer Service and will work cross functionally with other departments to provide superior customer service and on-time-delivery (OTD) of Zep Products. This is a highly visible position who will be responsible for the tactical and strategic responsibilities for the order-to-cash process. A successful candidate will possess the ability to analyze ordering trends against forecasts and proactively identify process inefficiencies and streamline or automate them.
Publish daily, weekly, monthly sales reporting (metrics and format TBD by management)
Assist Manager of Sales Operations and S&OP Analyst with monthly demand planning process and presentations for product teams and senior management team
Assist Sales team with preparation of demand forecast analyses for review in Sales and Operations Planning meetings
Quickly align with cross functional teams around responding to urgent forecast adjustment requirements or new analysis requests
Produce detailed monthly reports to track key sales metrics including pipeline, sales-to-date, sales-to-forecast, etc.
Provide critical analysis of monthly sales performance to Sales managers
Support ERP/SalesForce integration efforts
Support ERP system maintenance and improvement and eventual implementation of new ERP system and other Sales Operations projects as needed.
Receive and enter sales orders into ERP (Expandable) and provide order confirmation back to customer after confirming pricing, terms, and inventory availability to fulfill order on or before requested delivery date
Evaluate whether order ratios are in accordance with Zep Solar’s standard ratio matrix and to forecast
Manage order adjustments with customers, and is the key liaison for issue resolution
Monitor SO status, confirm accurate shipment, receive shipping confirmation documentation, raise invoices
Coordinate with A/R specialist and/or Controller to confirm shipment and invoice accuracy
Coordinate customer claims for RMA’s and credit memos
3+ years in order/contracts administration and 2+ years in manufacturing, preferred
Solid understanding of Supply Chain principles
Excellent communication skills and collaborative attitude
Education: Bachelor’s or equivalent job experience
Technical Skills: Excellent level of proficiency in all office programs (Word, Excel, Outlook, PowerPoint etc.) and ERP order management (i.e., Expandable, SAP, Oracle); beginner/intermediate hands-on knowledge of SalesForce
