JOB SUMMARY: Department : Conference Services Position : Director of Conference Services Reports to : Managing Director Scope of Position: The Director of Conferences Services is responsible to manage and operate effectively the catering, conference service and banquet activity of the hotel. The Director is responsible for maximizing revenues, controlling labor expenses, and acting as a liaison between clients and operating departments to ensure a successful meeting and rebook business. Requirements
        · Graduate of recognized Hotel and Restaurant Management Program or equivalent.
        · 5-6 years experience as a Conference Manager or Assistant Food and Beverage Manager in a large full-service hotel
        · Possess or attain CMP designation within two years
        · Active member of: PCMA, ACOM
        · Working knowledge of LANmark and Delphi preferred
        · Long hours sometimes may be required
        · Light work – Exerting up to 20 pounds of force occasionally, and/or 10 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects
        · Must have proven leadership, organizational, interpersonal and communication skills
        · Must be effective at handling problems in the workplace, including anticipating, preventing, identifying, and solving problems as necessary
        · Must have the ability to assimilate complex information, data, etc. from disparate sources and consider, adjust, or modify to meet the constraints of a particular need
        · Must be effective at listening to, understanding, and clarifying the concerns and issues raised by coworkers and guests
        · Must be able to work with and understand financial information and data, and basic arithmetic functions Responsibilities:
        · Responsible for all catering, from booking to execution and conference services from the time a contract becomes definite to execution
        · Responsible for preparing the departmental budget and forecasts, operating within set parameters, ensure effective cost control
        · Responsible for supervising Conference Services Office and banquet activities. Effectively maintain staff schedule
        · Responsible for establishing and maintaining rapport with clients, prior to, during and post-conference, exceeding their expectations and encouraging repeat business. Conduct site inspections as required
        · Must work closely with the Director of Sales to prepare monthly forecasts
        · Must control function space maximization
        · Responsible for developing the annual business and marketing plan for the department in conjunction with the Director of Sales and Marketing
        · Ensure meeting and function rooms are properly maintained at all times. Liaise with Food and Beverage outlets with regards to reservations and flow of clients
        · Ensure Turnberry Hotel and Resort Health and Safety standards are complied with at all times. Adherence to the Company’s “Green” initiatives
        · Participate in the following meetings: Department Head, Food and Beverage, Forecasting, Budget, Room Yield Management and Pre-Convention
        · Expedite function bookings; prepare resumes, event contracts, etc. Compilation and distribution of conference agendas and event orders
        · Ensure maximum employee satisfaction. Conduct annual performance reviews. Coordinate training for all department individuals for best carrying out their responsibilities and duties
        · Handle protocol related activity and handle VIP visit scenarios
        · Conduct periodic departmental audits to ensure adherence to core standards
        · Play active role in local community through adherence to clubs Board of Trade, Rotary, Professional Associations etc
        · Interview, hire, train, resolve problems, provide open communication and recommend discipline and/or termination when appropriate
        · Responsible for receiving, processing and investigating complaints made per the existing harassment policy. EOE M/F/D/V
