HQ – Liaison to the President

Position Summary:
The position will provide administrative to the Office of the President (OTP) including the units within OTP such as External Relations, Compliance and Legal, as well as the company’s sister organization, Creative Learning.

PRIMARY RESPONSIBILITIES

Creating and maintain SharePoint sites for the Office of the President and External Relations;

Facilitating meetings on the Hill, including disseminating information regarding Hill protocol;

Liaise with staff on behalf of the Office of the President;

Maintain electronic signatures within OTP;

Manage various mailings for OTP and External Relations;

Establish and maintain a contact management system for OTP and External Relations;

Review various documents for consistency of content;

Manage membership renewals within the Office of the President;

Manage financial data for the President;

Reconcile expenses for the OTP;

Prepare PowerPoint and other graphic presentations;

Coordinate travel, including obtaining visas;

Manage the appointment calendar for the OTP and External Relations;

Research background information in preparation for meetings;

Answer phone calls, take messages and manage voicemail for President, including directing phone calls to appropriate individuals within the company;

Receive and process all incoming and outgoing mail for President and perform follow up correspondence when necessary;

Manage and organize President’s contact list (including social media membership such as Linkedin and Facebook) as well as OTP’s list in the companywide database system;

Manage mail list for events for OTP, including companywide invitations and end of the year Holiday Peace cards and calendar;

Greet guests for President and assist in preparation for all meetings if necessary;

Manage logistics for events including booking, food and beverages, invitations, mailing list, etc.;

Manage schedule and appointments for President;

Organize and maintain filing system; search files and records for readily identifiable information, as directed;

Manage distribution of online language licenses available for staff;

Prepare and process invoices received for payment;

Reconcile credit card statements; and

Manage quarterly Measures of Success (MOS) process for OTP.

ADDITIONAL DUTIES AND RESPONSIBILITIES

Send email correspondence on behalf of OTP as needed;

Process travel related requirements, such as visas, for OTP;

Take notes and write minutes for meetings when necessary;

Occasionally run errands (outside of office) for President;

Make photocopies and scan documents as needed;

Perform online research on various topics as directed; and

Perform additional administrative support duties as requested.

REQUIRED SKILLS & QUALIFICATIONS

Advanced proficiency in Microsoft Office Suite and Windows 7.

Advanced knowledge of SharePoint

Experience with web searches

Outstanding interpersonal and communications skills, verbal and written.

Professional and presentable at all times and courteous, pleasant and willing to help anyone who has inquiry about the President, OTP and the company.

Flexible and able to work in a deadline oriented environment

Bachelor’s degree, preferably in a related field such as International Relations

Extreme confidentiality

Notary Public certification is a plus

Meticulous attention to detail
