Position Profile: The Washington State Transportation Commission (WSTC) provides a public forum for transportation policy development. It reviews and assesses how the entire transportation system works across the state and issues the state’s 20-year Transportation Plan. As the State Tolling Authority, the WSTC sets tolls for state highways and bridges and fares for Washington State Ferries. Currently the WSTC is seeking an Administrative Assistant 5 to serve as the primary administrative and accounting support person to the Executive Director and seven Commissioners.. This position will be expected to lead all logistical arrangements for monthly Commission meetings that occur in Olympia and across the state which includes doing the following; drafting invitation letters, providing meeting materials to Congressional representatives, legislators, local officials, etc., making logistical and facility arrangements, etc.. Additionally, this person will be the point of contact for public inquiries and routing those to the proper Commission staff as well as assisting with providing responses. Ideal candidates are self-directed, willing to take initiative, dedicated to customer service, able to demonstrate good judgment, works well on a close knit team. and has a collaborative work style. Coordinate, prepare and distribute meeting materials and handouts.
Finalize and distribute monthly meetings agendas to legislators, Governor’s Office, interested parties and media.
Process payroll and travel reimbursement.
Monitor, review and enter leave in labor system.
Prepare, process, and reconcile agency bills and payments to include purchasing card transactions.
Assist with vendor contract review, development and execution.
Manage and track agency vendor contracts.
Serve as the agency contact for building/facility issues.
Receive and respond to request for public records and ensuring PDR legal requirements and regulations are being followed.
From the hiring authority’s perspective, viable and competitive candidates should meet or exceed many of these qualifications:
Strong written communication skills to create and edit professional documents for public dissemination.
Proficient in Microsoft Office Suite, especially in Outlook calendaring, Excel and Word
Experience coordinating major policy matters, meetings and conferences.
Strong interpersonal communication skills with the ability to correspond with diverse and occasional dissatisfied groups or individuals. This includes successful experience providing first-class customer service communication to the public on behalf of an office/department.
Demonstrated track record of strong organizational skills and dependable customer service.
Solid time management skills. The ability to organize and prioritize task to changes in workload demands.
Valid Washington State driver’s license. The ability to travel throughout the state for meetings and conferences.

Desirable qualifications include:
Previous experience as a senior level Administrative Assistant, preferably in a state or government agency.
Previous experience preparing and processing related documentation for travel arrangements and reimbursement.
