Provides administrative support for the Pastry Shop, including answering telephones and emails and correspondence issues.

Provides and receives information concerning matters related to the Department.

Composes and prepares routine correspondence for signatures.

Independently assesses potential problems or issues that require immediate attention.

Maintains office supplies for office.

Establishes and maintains a variety of confidential files and records.

Coordinates tasks assigned by the Executive Pastry Chef.

Arranges meetings and conferences for employees, management and purveyors.

Independently prepares all letters, reports and agendas.

Assists F&B management with special assignments.

Assist with special projects within the Pastry Shop.

Assist in resolving employee complaints.

Inputs, prints and distributes daily BEO schedule.

Coordinates relief extra board staff schedule.

Coordinates the daily agenda for Executive Chef.

Maintains a high level of professionalism and proactively supports a positive work environment.

Anticipates the guests’ needs and responding appropriately with a sense of urgency.

Works as a team, assisting all guests’ and employees’ needs and inquiries.

Effectively communicates with management, chefs and culinary staff in order to fulfill and address any issues or needs requested by guests and or other employees.

Follows all procedures and policies set forth by the company, division and department.

JOB REQUIREMENTS:
Required:
At least 2 years of administrative experience.

Working knowledge of Microsoft Word and Excel.

Working knowledge of health, safety and sanitation procedures.

Excellent customer service skills.

Able to lead and mentor a team.

Have interpersonal skills to deal effectively with all business contacts.

Professional appearance and demeanor.

Work varied shifts, including weekends and holidays.

High school diploma or equivalent.

Able to effectively communicate in English, in both written and oral forms.

Preferred:
Previous experience working in a similar resort setting.
