The Executive Assistant is responsible for providing assistance to the CEO, COO, Professional Practices Partner (PPP) and General Counsel of the firm. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will work independently with little or no supervision. A successful candidate will be exceedingly well organized, detail oriented and flexible.
Requirements of this position include the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism. Confidentiality is crucial to this role and candidate must be able to maintain and protect confidential matters. Expert-level written and verbal communication skills along with strong intuitive thinking and decision-making abilities are equally important.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Managing calendars of CEO, COO, PPP and General Counsel; Reviewing calendars in advance to prepare executives for upcoming meetings.
Managing corporate plane schedule and communicating with pilots on a routine basis; Booking flights, hotels and transportation around the world.
Reviewing invoices for accuracy and submitting for payment
Compiling and maintaining firm information for insurance reporting.
Registering executives for webinars and setting up conference rooms.
Outstanding communication and interpersonal skills, in particular, strong verbal and written communication skills. Ability to handle sensitive situations and confidential information with discretion. Demonstrated poise, tact, diplomacy and good judgment. Exceptional attention to detail and accuracy.
Client service orientation and ability to work effectively with internal and external clients; Follow policies and procedures; Completes administrative tasks correctly and on time, demonstrating effective time management skills and ability to prioritize work load; Supports BKD’s goals and values by demonstrating a professional demeanor.
Follows instructions and responds to management direction; Takes responsibility for own actions; Volunteers readily; Exhibits sound and accurate judgment; Applies feedback to improve performance; Monitors own work to ensure quality; Shows initiative by working independently.
Proficient with Microsoft Office 2010 (Word, Excel, Outlook).
Scheduling conference calls with high-level executives.
Hosting Governing Board and Regional Managing Partner meetings (ordering food, set-up, clean-up, etc.)
Is consistently at work and on time; Ensures work responsibilities are covered when absent; Arrives at meetings and appointments on time.
EDUCATION, EXPERIENCE & CERTIFICATION REQUIREMENTS
Bachelor’s degree (HR, business or analytical field preferred) preferred.
3-5 years’ comprehensive executive assistant experience required. Public accounting experience a plus.
OTHER PHYSICAL AND/OR SPECIAL REQUIREMENTS:
Working on computer for long periods of time (up to four hours)
Sitting for long periods of time (up to four hours)
Some air and car travel required (to practice offices and/or conferences, events)
