Job Summary

Responsible for planning, coordinating, communicating, and implementing benefit programs and disability management. Assist in administration of comprehensive benefits management, while ensuring compliance with state and federal regulations. This position is responsible for accommodation implementation from inquiry through case completion for employees with disabilities. Manages a caseload of persons with disabilities; educates on disability issues, functional limitations, access and accommodation; works effectively within the department to ensure the interactive accommodation process is provided, advises and refers individuals to appropriate internal and external resources.

Essential Functions

BENEFITS

Assist the Benefits Manager by researching special projects such as Benefit surveys, Medicare verification, etc. Provide employees with the interpretation of appropriate benefit levels from verbal or written information. Answer questions via phone, e-mail and in person from employees and prospective employees. Advise employees on procedures for enrollment, filing of claims, transfer of benefits, etc.

Monitor dependent eligibility for medical and dental including notification to employees and COBRA administrator. Oversee benefits forms processing (new hires, anniversary, and changes) from employees in a timely fashion.

Manages the tracking of employee leaves and ensures compliance with Family Medical Leave Act.

Responsible for data entry of benefit enrollment information.

Oversee the scheduling for benefits and anniversary meetings. Assist in planning and organizing benefits education and training programs including special information meetings, enrollment fairs, benefits orientation, etc.

Maintain all employee benefits files with current information for up to date and accurate records management. Generates general office correspondence in the form of letters, e-mails and memos including benefits confirmation, COBRA , Leave of Absence, Tuition Waiver reminders, Sabbatical letters, meeting minutes, etc.

Responsible for coordinating and implementing benefits and wellness related workshops, special projects and events as determined by the Benefits Manager.

In collaboration with Benefits Manager, creates and communicates reports and presentations as they relate to benefits utilization and tracking potential cost savings for wellness initiatives.

Adhere to HIPAA compliance procedures and policies.

ACCOMMODATIONS

Manages a caseload of persons with disabilities through the accommodation process and implementation as assigned;

Has ability to triage and recommend possible resolutions and options in a timely manner, utilizing immediate, short-term, and long-term strategies;

Provides education and information on a case specific basis to all parties involved in the accommodation implementation process;

Ability to modify communication style and techniques based on individual needs;

Conducts regularly scheduled, individual contact with caseload to review accommodations and their effectiveness through an interactive process;

This individual will maintain confidential files and records; carefully document each contact; maintain strict confidentiality of files, reports, medical and psychological documentation of disability; generate statistical reports;

Other duties as assigned in support of Gonzaga’s mission.

Position reports to Benefits Manager. Incumbent expected to function with independence and discretion.

Minimum Qualifications

Bachelor’s degree.

Five years experience working with individuals with disabilities.

Demonstrated background working with human resources and benefits management.

Demonstrated ability to review and understand medical and psychological diagnostic assessments and reports.

Working knowledge of Federal and state laws pertaining to individuals with disabilities (Section 504 of the Rehabilitation Act 1973, the Americans with Disabilities Act, Washington Law Against Discrimination, and the ADA Amendments Act).

Working knowledge of Federal and state laws, regulations, and codes pertaining to privacy of information.

Ability to maintain confidentiality of records and information and the ability to discern appropriate discretion in sharing information in the case management process.

Proficiency with Microsoft Office software – Word, Excel, PowerPoint.

Ability to demonstrate strong organizational and communication skills.

Excellent grammar, spelling, punctuation, composition and proofreading skills.

Strong interpersonal and customer service skills in order to interact professionally with people of diverse backgrounds.

Ability to maintain professional composure and confidentiality in multi-faceted, fast-paced work environment.

Work experience in higher education.

Physical Demands

The functions are usually performed sitting but may involve some amount of time standing, stooping, kneeling, bending, lifting, walking, carrying, and reaching, while filing and performing other duties. Extensive wrist and hand movements related to computer keyboard and calculator work. Ability to lift up to 20 lbs. occasionally required. Ability to be mobile campus wide for appropriate business needs.
