Montgomery College, Foundation Finance Office, has need for a full time Gift Coordinator, position #S03850 in Rockville, Maryland. Work schedule is Monday through Friday, 8:30 a.m. – 5:00 p.m., and will include occasional evening and weekend hours.
: Under supervision and/or direction, responsible for the processing of approximately $3 - $4 million in gifts annually, donor acknowledgment, biographical updates and the payment of Montgomery College Foundation expenses. Work consists of preparation and processing of information including the performance of technical and support activities that result in providing a service to Montgomery College donors. Duties encompass a variety of processes and methods and the incumbent is expected to perform under minimal supervision and act independently within the scope of normal duties and responsibilities.
Functions may include but are not limited to:
Processes gifts, pledge payments, matching gifts, tribute gifts, online gifts, non-cash donations and auction payments. Assures that all acknowledgements are prepared and mailed in a timely manner.
Enters and maintains current donors' biographical data including but not limited to: names, addresses, phone, email, spouses and other family members' information, employment history, etc. Assures that all corresponding links in the database are updated and maintained as gifts are processed. Conducts online research using Alumni finder, Social Security Death Index, Property Search and other internet resources to find additional information about donors.
Processes weekly gift interface between Banner Advancement and Banner Finance. Makes bank deposits weekly.
Maintains checkbook, preparing all checks and gathering appropriate backup documentation to legitimize expenditures.
Prepares and sends all required IRS forms including Form 1099, 1098, 8282 and 8283, to appropriate vendors and donors, while preparing Form 1096 notifying IRS of same.
Advises faculty, staff and administrators on policies and procedures for accessing funds.
Processes expenditure requests including transfer scholarships, emergency requests and student purchases for books and/or supplies from appropriate fund.
Responsible for document imaging of gift agreements, gift transmittals, checks and all documents associated with gift processing.
Provides administrative support to the Director of Foundation Finance including opening mail and ordering supplies for the department, filing, creating folders and binders and preparing documents for archiving.
Associate's degree in management, business, finance, information technology or a related field.
Minimum of three years experience in gift processing and/or donor research.
Thorough knowledge of the principles and techniques of gift processing and finance.
Proficiency with Microsoft Office Suite software, specifically Word and Excel.
Ability to handle donor information with confidentiality, work independently and under pressure maintaining attention to detail while meeting competing and inflexible deadlines.
Excellent organizational skills and the ability to multi-task, overseeing multiple projects simultaneously while meeting concrete deadlines.
Ability to apply great attention to detail and perform hands-on with a high level of accuracy using critical problem solving skills and a high degree of independence.
Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.
Bachelor's degree or higher in related field.
Proficiency with Banner software.
Proficiency with Raiser's Edge software.
Proficiency with donor and alumni tracking software.
Proficiency with Microsoft Access.
