Hours: 8-5, Monday - Friday.

Examples of Work:
This paraprofessional support position with the State Building Division will be the customer service coordinator responsible to receive maintenance and emergency work order requests, prioritize these requests, and relay emergency work orders over the radio; create work orders and issue work orders to supervisors. Enter and maintain log of all work orders in EnterpriseOne. Collect and summarize statistical data; run reports for management; develop spreadsheets and documents. Examine and verify Accounts Receivable and Accounts Payable, conduct pre-audits, and work with Finance to pay or bill out. Develop legal contract documents and purchase orders, enter contracts and purchase orders in EnterpriseOne. Coordinate meeting schedules and travel arrangements for Regional Manager. Support the daily maintenance operation for the Central Regional facilities, including preparation of correspondence and promotion of programs and initiatives; attend meetings, record, transcribe and distribute minutes. Work with Agency Directors to schedule meetings; coordinate vendor and contractor visits; resolve walk-in requests. Develop and maintain work schedules with facility staff and management for completion of work. Develop and maintain filing system. Order supplies and maintenance equipment.

Qualifications / Requirements:
REQUIREMENTS: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; research; or areas related to the programs and functions of the employing agency OR Experience in performing administrative/office/secretarial support work including use of personal computers and office equipment.

PREFERRED: Experience or coursework in accounting.

Knowledge, Skills and Abilities:
Knowledge of hardware, tools, repair procedures, horticulture, HVAC, plumbing, electrical equipment preferred. Ability to work independently and on a team; quickly assess and prioritize work; communicate in person, by telephone, 2-way radio, computer, email, or correspondence to exchange information and ideas; summarize technical data and results of research and monitoring activities into reports; implement decisions made and take action to achieve work objectives, performance goals, and priorities; provide excellent customer service and professionally handle complaints, problems and requests. Occasionally respond to urgent matters in person or follow up with tenants in meetings. Ability to respond quickly to urgent calls for service and assign these calls to maintenance staff.
