Job Summary: The Vital Life Wellness Center Client Relations Coordinator provides high quality reception and secretarial services to patients, providers, and staff at the Center in a caring and supportive manner.

Major Responsibilities/Activities

  • Performs clerical procedures as delegated and in accordance with Center standards
  • Respects and maintains patient privacy and dignity: ensures patient confidentiality at all

times

  • Greets clients, vendors, and telephone callers and inquires on the nature of their matter
  • Operates multiple telephone lines and handle calls appropriately
  • Responds to patient communications and transfers calls or delivers complete messages to the appropriate individual per Center protocol
  • Provides information to assist clients or refer them to appropriate contacts
  • Arranges appointments for clients and vendors and obtains necessary information for the appointments
  • Faxes, files, scans, and prepares documents as needed
  • Processes outgoing/incoming mail and distributes faxes
  • Types documents as required with a high level of accuracy
  • Maintains forms and office supplies required for front desk activities
  • Completes daily bank deposit slip in the practice management software system (Centricity)
  • Works closely with Medical Management team to ensure accurate and complete billing and collections
  • Confirms appointments three days prior to the set appointments for clients and vendors
  • Verifies benefit/insurance coverage for set appointments at a minimum of three days prior to visits, to include all First Line Therapy visits
  • Trains/acts as preceptor for new employees
  • Assists in managing the patient referral process
  • Assists in the promotion of products and services provided by Vital Life Wellness Center
  • Follows all OSHA safety standards
  • Upholds all HIPAA regulations

Minimum Requirements

  • High School Graduate or GED
  • 2 years medical office experience preferred or equivalent combination of training and experience
  • 2 years customer service experience preferred
  • Some knowledge of CPT or ICD-9 coding desired
  • Some understanding of medical terminology desired
